As a Sales & Event Coordinator, you will serve as a key ambassador of the brand, supporting the full lifecycle of luxury group and event business—from initial inquiry through flawless execution.

What You Will Be Doing 

Luxury Sales & Client Engagement 

  • Curate and cultivate meaningful relationships with clients, meeting planners, and partners, delivering bespoke service at every touchpoint 

  • Respond to inquiries with elegance, efficiency, and personalization reflective of Sofitel standards 

  • Support revenue generation through lead qualification, proposal preparation, and strategic follow-up 

  • Identify opportunities to enhance the guest experience through thoughtful upselling of rooms, catering, and signature services 

  • Participate in site inspections, client meetings, and presentations, showcasing the hotel’s unique offerings and refined aesthetic 

  • Represent Sofitel with professionalism, passion, and pride, embodying the brand’s culture of excellence 

Event & Catering Coordination 

  • Orchestrate the planning and coordination of meetings, events, and group experiences with meticulous attention to detail 

  • Serve as a dedicated liaison for clients, ensuring seamless communication and an elevated planning experience 

  • Assist in developing event timelines, function details, and catering requirements aligned with client expectations 

  • Attend pre-conference and planning meetings, ensuring clarity, alignment, and flawless execution 

  • Partner with Culinary, Banquets, and Operations teams to bring each event to life with precision and sophistication 

  • Anticipate needs and resolve challenges proactively to deliver memorable, luxury experiences 

Group Reservations & Revenue Optimization 

  • Manage group room blocks, rooming lists, and reservations within Opera, Delphi, or related systems 

  • Maintain the integrity of group inventory, monitoring cut-off dates and collaborating with Revenue Management to optimize availability 

  • Process all reservation updates with accuracy and discretion, ensuring adherence to brand standards and policies 

  • Communicate effectively with internal teams regarding changes, forecasts, and group performance 

  • Support revenue optimization through reporting, data accuracy, and proactive inventory management 

Administrative Excellence 

  • Provide comprehensive administrative support to the Sales & Catering team, ensuring smooth daily operations 

  • Maintain impeccable organization of client files, contracts, and correspondence 

  • Audit and update Delphi system entries to ensure precision and compliance with Sofitel standards 

  • Prepare reports, presentations, and communications with a high level of professionalism 

  • Coordinate schedules, appointments, and internal communications across departments 

  • Contribute to a polished, efficient, and collaborative office environment 

Qualifications

Your experience and skills include:

  • Previous experience in luxury hospitality, sales, catering, or event coordination preferred 
  • Passion for delivering exceptional, personalized guest service 

  • Outstanding communication skills with a refined, professional presence 

  • Strong organizational and multitasking abilities with exceptional attention to detail 

  • Ability to anticipate needs and solve problems with poise and efficiency 

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) 

  • Familiarity with Opera, Delphi, or similar hospitality systems preferred 

  • Ability to work both independently and collaboratively in a dynamic environment 

  • High school diploma required; Bachelor’s degree preferred
