Job description

POSITION OVERVIEW:

Hybrid Washington, D.C. preferred

The Events Coordinator supports the planning, coordination, and execution of Field to Market's stakeholder meetings, conferences, program convenings and digital programming. This role plays an integral part in delivering high-quality in-person and virtual experiences that advance the organization's mission and strategic objectives.

Working closely with staff, members, speakers, guests, sponsors and vendors, the Coordinator manages event logistics, registration systems, program operations, event technology, and supports event communications.

The ideal candidate is highly organized, detail-oriented, member-focused, and comfortable managing multiple projects in a fast-paced environment. The successful candidate will demonstrate strong communication skills and the ability to work both independently and collaboratively across teams.

CORE RESPONSIBILITIES: Meetings and Events Operations:
  • Coordinate planning, logistics, agenda development and communications for Field to Market's Annual Meeting, Fall Membership Meeting, Sustainable Agriculture Summit, Resilient Futures Leadership Program and other convenings.
  • Ensure meetings are delivered on time, within budget, and aligned with goals.
  • Manage venue logistics, including A/V, catering, room assignments, and on-site operations.
  • Lead site selection and act as on-site contact.
  • Manage vendor contracts and meeting materials.
  • Oversee speaker coordination, including selection, management, and evaluation.
  • Support post-event evaluation and recommend improvements.
  • Support other Field to Market's events such as Cross-Sector Dialogues, State of the Sector Forum, and others as they arise.
  • Track budgets, expenses, and financial reports.
  • Perform other duties as assigned.
Leadership Programming Coordination:
  • Support logistics for Field to Market's leadership programs, including scheduling, planning, venue selection, travel, and on-site/virtual delivery.
  • Serve as liaison with partners and program participants, maintaining clear communication channels.
  • Maintain program documentation, including materials, presentations, and evaluations.
  • Support participant registration, communication, and support from recruitment to program completion.
  • Collaborate with marketing to promote the program and maintain web content.
  • Track outcomes and prepare impact reports for stakeholders.
  • Assist in developing future leadership programs.

Digital Programs and Webinar Management

  • Coordinate and execute webinars, virtual training programs, and other digital educational offerings.
  • Manage all aspects of webinar delivery, including registration setup, speaker coordination, rehearsal scheduling, live event hosting, and post-event reporting.
  • Partner with the Communications team by providing content, assets, and program information to support the marketing and promotion of digital programming.
  • Collaborate with internal teams and external stakeholders to develop and improve digital programming.

REQUIREMENTS:

  • Bachelor's degree or equivalent combination of education and experience required.
  • Minimum of two years of relevant experience in event planning, program coordination, association management, hospitality, nonprofit management, or a related field.
  • Strong project and time management skills; able to manage multiple priorities and meet deadlines.
  • Collaborative, team-oriented, with strong interpersonal and communication skills.
  • Comfortable in a fast-paced, small office, remote environment; initiative-taking and able to work independently.
  • Proficient in MS Office (Outlook, Word, Excel, PowerPoint, SharePoint)
  • Experience working with databases, registration platforms or CRM systems.
  • Strong written and verbal communication skills in English are required to effectively coordinate events, manage communications with stakeholders, and prepare event-related materials.
  • Ability to travel to travel and provide on-site support for conferences and events up to 25%, including some evenings and weekends.

PREFERRED:

  • Familiarity with webinar platforms, mobile event applications, and association management systems preferred
  • Familiarity with sustainability or agricultural/environmental programs preferred.
