Job title: Part-Time Events Associate
Reports to: Events Manager
Salary range: $18.00-$19.00
FLSA status: Non-Exempt, hourly
Schedule: part-time (24 hours weekly), variable schedule with night and weekend shifts to support events.

Position Summary:
The Events Associate aids in creating, coordinating and delivering high-quality events. Responsibilities include coordinating staff and volunteer support for events; cultivating vendor relationships; preparing and setting up venues; assisting with event registration; and communicating with internal and external stakeholders. The Events Associate additionally coordinates and completes tasks and interviews related to animal adoptions at events.
Essential Duties and Responsibilities:
  • Assists the Events Manager in areas related to planning, organizing, and executing events.
  • Communicates with department teams to ensure pets are reserved for events who are behaviorally/medically cleared.
  • Coordinates the safe transportation of animals to and from events by following transport protocols.
  • Provides care for animals at events to include safe handling and ensuring sanitary conditions are maintained.
  • Ensures Maryland SPCA vehicles are cared for and used appropriately by adhering to Maryland SPCA Vehicle Policy and Agreement.
  • Provides excellent customer service during events and while conducting adoption interviews to prospective adopters, educating the public on the basics of animal care, and reviewing applications with management to determine approval, if necessary.
  • Plans and executes each event set up strategically and consistently with pet safety, great customer service and Maryland SPCA branding in mind.
  • Serves as the face of the Maryland SPCA when attending events; engaging patrons and maintaining the organization’s positive reputation.
  • Professionally and independently handles customer complaints/issues and turns them over to appropriate leadership as needed.
  • Collaborates with the Volunteer Department to recruit, train and schedule outgoing, capable volunteers.
  • Provides direction, support, and encouragement to volunteers working events.
  • Performs excellent cleaning of pet carriers, cages, and interior of Maryland SPCA’s vehicles during and after events to manage disease exposure for the pets.
  • Responsible for proper cash management and recording according to organizational policy.
  • Completes follow-up reports as appropriate for each event and ensures that all appropriate data is entered into the database in a timely manner.

Qualifications:
  • One to two years of event planning or related event support experience.
  • Excellent verbal, written, and interpersonal communication skills.

  • Proficiency with Microsoft Office Suite and experience with CRMs.
  • Ability to work well in a team environment, manage multiple assignments, and meet deadlines.

  • Basic animal handling experience and comfortability, with knowledge of feline and canine behavior.
  • Familiarity with animal restraint and handling.
  • Possess current Maryland driver's license, driving insurance, and safe driving history (required).
  • Must have reliable transportation and a clean driving record.
  • Able to flex hours to accommodate weekend events and late-night events.
Physical Demands:
  • Frequent sitting, with some standing, walking, bending, and reaching.
  • Ability to drive, step up and down from large transport vehicles.
  • Use of computer and telephone.
  • Occasional lifting up to 40 lbs.
  • Occasional standing and walking 8 or more hours per day with frequent bending, kneeling, stooping and reaching
Working Conditions:
  • Work is performed in a shared office setting with frequent work outside in various elements, or inside an animal adoption RV as needed.
  • Frequent exposure to animals, which includes the risk of scratches and bites.
  • Exposure to disinfecting solutions when cleaning, exposure to unpleasant odors and high noise levels when in kennel area.
  • Potential exposure to zoonotic diseases, sharp objects, hazardous chemicals, dangerous and fractious animals.
