Job description

Note to applicants: This Associate position on our Events Operations team remains open on an ongoing basis to support our evolving programming and production needs. As our events portfolio and initiatives grow, we regularly assess and expand the team with Associates who can support event execution, manage logistics, coordinate cross-functional partners, and ensure operational excellence. Maintaining this posting allows us to proactively connect with strong candidates and move quickly as opportunities arise.

The big picture: Axios is a media company dedicated to providing trustworthy, award-winning news content in an audience-first format. The Associate, Axios Live role supports the day-to-day logistics for the events execution team for our rapidly expanding events business.
Why it matters: Associates manage event materials, client-facing documents, and multiple front-of-house and back-of-house tasks on-site at events and in a virtual environment. They collaborate across the events team to research and build highly curated guest lists, track event analytics, support the creative team with creation and design of event elements (including signage creation, deck creation, etc), draft and send event attendee communications, and perform relevant administrative tasks
Go deeper: This role has operational responsibilities and will often work on multiple, concurrent in-person events while moving at a fast pace. Key responsibilities include:
Event Support & Execution
  • Assist in the planning and execution of live, virtual, and hybrid events-including setup, breakdown, and onsite guest check-in support.
  • Prepare and maintain detailed event documentation such as seating charts, packing lists, and event deliverables.
  • Support the team in real-time problem-solving and coordination during live events.
Guest List & Research
  • Help manage RSVPs, guest confirmations, and check-in tools.
  • Partner with editorial and marketing teams to ensure strategic guest outreach and an excellent pre and post-event audience experience.
Project & Task Coordination
  • Help coordinate deliverables across internal and external stakeholders, such as vendors, designers, and content teams
  • Manage multiple competing priorities, providing timely updates and flagging any risks to deadlines or details.
  • Track administrative follow-ups such as invoicing, shipping logistics, and deliverable collection.
Administrative & Logistical Support
  • Book photographers, travel, and accommodations; submit invoices and process expense reports.
  • Maintain updated records of contracts, agreements, and documentation for vendors
  • Organize and ship event materials (signage, swag, collateral) as needed.
  • Develop and maintain registration pages, ensuring details and accuracy at all times.

  • 1-3+ years of experience in events, marketing, project coordination, executive support, or a related field.
  • Exceptional attention to detail, organizational skills, and multitasking ability.

  • Comfortable working both independently and collaboratively across teams.
  • Willingness to travel and work non-standard hours for event support, including early mornings or evenings when required.
