POSITION RESPONSIBILITIES:
  • Plan, coordinate, and support execution of corporate, trade, and special events by managing cross-functional logistics, timelines, communications, registration details, project milestones, and on-site support to deliver seamless, brand-aligned experiences.
  • Serve as a liaison with internal departments, business owners, external partners, vendors, travel advisors, guests, and other stakeholders to align event requirements, priorities, deliverables, and deadlines.
  • Maintain and monitor project plans, task lists, event records, budgets, invoices, contracts, registrations, attendance information, gifting details, and other documentation to support accurate reporting, effective execution, and timely escalation of risks or decisions.
  • Coordinate event communications and stakeholder updates, including invitations, confirmations, inquiries, follow-ups, meeting notes, status updates, reports, memos, and event materials for stakeholders and leadership.
  • Support planning meetings, site visits, shipboard programs, inaugurals, ship launches, christenings, trade shows, seminars at sea, conferences, familiarization sailings, and other events as business needs require.
  • Organize and maintain event supplies, equipment, and inventory; place and track approved orders as needed while monitoring readiness, availability, and budget considerations.
  • Apply company product knowledge, brand standards, and a guest-centric mindset to support consistent, professional experiences across internal and external events.
  • Contribute to post-event recaps, reporting, feedback collection, and process improvements to support continuous improvement and team alignment.
  • Provide guidance to coordinator-level support as needed by clarifying priorities, sharing event context, monitoring assigned workstreams, and escalating issues that require manager direction or approval.
  • Perform other job-related functions as assigned.

KNOWLEDGE AND EXPERIENCE:
EDUCATION: Bachelor's degree in Event Management, Hospitality, Marketing, Communications, Business Administration, Project Management, or a related field preferred; or equivalent combination of education, skills, and experience.
EXPERIENCE:Minimum 2 years of experience in event coordination, project coordination, guest services, hospitality, corporate support, or a related role required. Experience supporting multiple event types, coordinating cross-functional workstreams, tracking project deliverables, preparing stakeholder updates, and supporting budget, invoice, contract, registration, or reporting processes preferred. Experience in the travel, cruise, hospitality, trade show, or corporate events industry preferred. Experience with event management systems, registration platforms, inventory coordination, or project management tools is a plus.
KNOWLEDGE & SKILLS: Detail-oriented with strong organizational, time management, prioritization, and follow-up skills. Excellent verbal and written communication skills with the ability to collaborate effectively with internal stakeholders, external partners, vendors, travel advisors, guests, and leadership. Demonstrates adaptability, initiative, creativity, sound judgment, problem-solving ability, and a guest-centric approach. Able to manage multiple priorities with moderate independence, maintain accurate documentation, support budgets and reporting, monitor project deliverables, identify risks, and contribute to continuous improvement. Proficient with Microsoft Office Suite; familiarity with event operations, registration platforms, Smartsheet or other project management tools, inventory systems, and logistics planning is a plus. Flexibility to work evenings, weekends, and travel domestically or internationally as business needs require. Must possess a valid passport or be able to obtain one.
