Position Summary & Purpose

Reporting to the Chief Operating Officer at our Boca Raton, FL practice, the Events Manager owns event coordination and planning for Marquis MD across all locations, working with marketing to source the collateral each event requires. This is a full ownership role covering the complete lifecycle of every gathering: design, guest development, vendor and budget management, live execution, and post event reporting. The portfolio includes referral partner previews, physician hosted dinners, member gatherings, clinic tours, and community sponsorships. 

The principal functions of the position identified shall not be considered as a complete description of all the work requirements and expectations that may be inherent in the position. Position Essential Duties and Responsibilities

The following are duties and responsibilities that the Events Manager shall provide: 

Planning and Design 

  • Own the rolling event calendar across all Marquis MD locations, balanced across acquisition and member retention. 
  • Source and recommend venues, formats, and concepts that meet the Marquis MD standard. 
  • Build repeatable playbooks so each recurring event series runs to the same standard, and adapt them to each new market. 
  • Build local vendor networks and venue relationships in each market while holding one standard across every location. 
  • Partner with site leadership on logistics, staffing, and space readiness for events held at or near their practice. 

Guest Management 

  • Build guest lists with the Membership Consultants and physicians, tuned to the goal of each event. 
  • Manage invitations, RSVP tracking, and the reminder cadence through to confirmed headcount. 
  • Research every guest so the host team can greet each attendee by name and by context. 
  • Coordinate invitations and post event follow up with the marketing team. 

Vendors, Budget, and Logistics 

  • Source, negotiate, and manage all event vendors, including catering, beverage, audio visual, floral, and rentals. 
  • Own event budgets from estimate through purchase order, invoice reconciliation, and cost reporting against plan. 
  • Manage vendor contracts, certificates of insurance, and permits, escalating terms requiring legal or executive review. 
  • Identify the collateral required for each event and submit requests to marketing with enough lead time for design, approval, and production. 
  • Coordinate with marketing on invitations, signage, leave behinds, presentation materials, and branded items, tracking each piece from request through delivery on site. 
  • Maintain collateral and event asset inventory across locations so every site has current, on brand materials in stock ahead of demand. 

Live Event Support 

  • Build the run of show for every event, including timing, staffing, host team roles, and contingency plans. 
  • Be on site from setup through breakdown as the central coordinator and point of accountability. 
  • Supervise vendor performance in real time and direct guest flow, seating, and introductions. 
  • Work alongside the host team and physicians during the event, adjusting timing and logistics as the room requires. 
  • Resolve on site issues without interrupting the guest experience. 
  • Manage the clinic environment for tours, including lighting, music, refreshments, and signage. 
  • Travel between locations to support events on site, and coordinate remote execution where physical presence is not possible. 

Reporting and Follow Through 

  • Hand off every qualified conversation to the appropriate Membership Consultant within one business day. 
  • Report attendance, guest mix, tours booked, spend against budget, and memberships attributed to each event. 
  • Deliver a post event summary to the Chief Operating Officer within one week, including what will change next time. 
  • Travel to events as needed, up to 25% of the time, increasing as Marquis MD expands into additional markets. 

Requirements

Educational/Skill Requirements

The Events Manager requires a minimum of a Bachelor's Degree in Marketing, Hospitality, Business, or a relevant field is preferred and: 

  • 3+ years of event planning or hospitality experience. Luxury hospitality, private club, or high end catering background strongly preferred. 
  • Demonstrated experience owning events end to end, from concept through reconciliation. 
  • Working knowledge of event logistics, catering, audio visual, rentals, and vendor negotiation. 
  • Proficiency in event management software such as Cvent or Eventbrite preferred. Salesforce experience preferred. 
  • Strong Microsoft Office skills, including budget tracking in Excel. 
  • Absolute discretion with confidential member and business information. Awareness of HIPAA obligations required. 
  • Flexibility to work evenings and select weekends. Event schedules drive this role. 
  • Ability to travel to events as needed, up to 25% of the time. 
  • Ability to work under pressure with strict deadlines in a fast paced, changing environment. 
  • Strong written and verbal communication, well organized, with an eye for detail that others miss. 
  • Proven ability to troubleshoot and resolve issues quickly during events. 
  • Experience coordinating events across multiple locations or markets, including remote vendor and venue management. 
  • Comfort working through a marketing team for design and production rather than creating materials independently.
