Job description

Organization: Bakehouse Art ComplexLocation: Miami, FloridaTerm: Immediate start through December 18, 2026
Schedule: Temporary/part-time/contractor - Monday through Friday.Occasional evening and weekend availability for special events (such as fundraiser, donor events, and private events).
Reports to: Executive Director and Development TeamHourly pay: $25/hr (commensurate with experience)


Position SummaryBakehouse Art Complex seeks an organized, energetic, and highly dependable Temporary Special Events and Development Assistant to support the planning, promotion, and execution of our annual fundraising event.
Working closely with Bakehouseโ€™s leadership, development team, staff, and event partners, the assistant will help coordinate marketing, sponsorship and donor outreach, ticket sales, guest communications, event logistics, and post-event follow-up. This is a hands-on position for someone who thrives in a fast-moving, collaborative environment and can move comfortably between detailed administrative work, donor-facing communications, and on-site event management.
The position begins immediately and continues through December 18, 2026, allowing time for event preparation, execution, acknowledgment, and reconciliation.
Primary ResponsibilitiesFundraising and Development
  • Support fundraising outreach to sponsors, donors, board members, and prospective attendees.
  • Prepare and track sponsorship requests, commitments, benefits, payments, and acknowledgments.
  • Maintain accurate donor, sponsor, ticket-buyer, and guest information in Bloomerang.
  • Produce donor lists, RSVP reports, payment reports, and other development tracking documents.
  • Assist with donor correspondence, solicitation materials, invoices, tax acknowledgment letters, and thank-you communications.
  • Follow up professionally and persistently on outstanding sponsorship commitments, ticket purchases, guest names, and payments.
  • Help ensure that all donor and event information is entered accurately and promptly.


Marketing and Ticket Sales
  • Help implement the event marketing and ticket-sales plan.
  • Coordinate email communications, invitations, reminders, social media content, and promotional materials.
  • Work with staff and external vendors to ensure that event information is accurate and consistent across all platforms.
  • Monitor ticket sales and prepare regular progress reports.
  • Respond promptly and professionally to questions from ticket buyers, sponsors, guests, and participating artists.
  • Identify opportunities to expand attendance and encourage ticket purchases through Bakehouseโ€™s community and networks.


Event Planning and Management
  • Assist with all aspects of event production, including timelines, checklists, vendor coordination, permits, rentals, catering, signage, dรฉcor, entertainment, parking, security, and guest experience.
  • Maintain the master event timeline and track assignments, deadlines, and deliverables.
  • Coordinate guest lists, registration materials, name badges, seating or recognition lists, and check-in procedures.
  • Help recruit, schedule, brief, and supervise volunteers.
  • Serve as an on-site event team member and help troubleshoot issues as they arise.
  • Support event setup, guest arrival, program activities, breakdown, and final reconciliation.
  • Be available for extended hours immediately before, during, and after the fundraising event.


Post-Event Follow-Up
  • Assist with the preparation and distribution of sponsor and donor acknowledgments.
  • Reconcile attendance, ticket sales, sponsorship payments, and outstanding pledges.
  • Update Bloomerang records with final gifts, attendance information, notes, and follow-up actions.
  • Organize event files, invoices, contact lists, photographs, and final reports.
  • Help prepare an event summary documenting results, outstanding items, and recommendations.


Qualifications
  • At least two years of relevant experience in nonprofit development, fundraising events, special events, marketing, hospitality, or a related field.
  • Demonstrated experience supporting or managing a fundraising event, benefit, gala, cultural program, or comparable public event.
  • Prior experience using Bloomerang is required.
  • Experience with email marketing, ticketing, social media, spreadsheets, and online collaboration tools.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple deadlines, follow through consistently, and anticipate what needs to happen next.
  • Professional and comfortable communicating with donors, sponsors, board members, artists, vendors, and members of the public.
  • Resourceful, calm, and solutions-oriented under pressure.
  • Able to work independently while collaborating closely with a small team.
  • Available for evening and weekend work, particularly during the weeks leading up to the event.
  • Interest in contemporary art, cultural organizations, or Miamiโ€™s nonprofit community is strongly preferred.
