Job description

The Administrative Assistant provides a full range of administrative support for attorneys and professional staff of Events DC's Office of the General Counsel. The work is varied and highly confidential and the Administrative Assistant is expected to become familiar with and involved in the function and responsibilities of the Office of the General Counsel. The Administrative Assistant reports directly to the General Counsel and the VP & Deputy General Counsel.

The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment.

  • Bachelor's degree from an accredited college or university and three (3) years of progressively responsible experience in a law firm or in a government or corporate legal department; OR
  • High school diploma or equivalent and five (5) years of progressively responsible experience in a law firm or in a government or corporate legal department; OR
  • Any equivalent combination of experience, training and/or education.
  • Proficiency with MS Office Suite to include Word, Excel, Access and PowerPoint.
  • Familiarity with legal research tools (e.g., Westlaw, Lexis).
  • Provides assistance to attorneys and staff. Drafts correspondence, memoranda, presentations and reports for review and approval by attorneys, adhering as applicable to uniform standards of the legal profession. As requested, proofreads work of attorneys and staff.
  • Tracks and manages the operational budget of the Office of the General Counsel .
  • Performs procurement-related tasks on behalf of the Office of the General Counsel including entering requisitions and processing vendor invoices. Serves as liaison between Office of the General Counsel, the Office of Contract and Procurement Servies (OCPS) and the Financial Management Division (FMD) to ensure policies and procedures are adhered to.
  • Assists with Events DC's risk management program and insurance portfolio. Coordinates annual insurance renewal process including gathering information from various departments and completing applications.
  • Arranges travel reservations and itineraries for the attorneys and staff of the Office of the General Counsel and completes expense reports, credit card reconciliations and other travel-related administrative requirements.
  • Develops and maintains proper indexing, filing and case/client management system for the Office of the General Counsel.
  • Screens telephone calls and visitors, and implements knowledge of policies, procedures, and operations within scope of responsibility, or refers to the appropriate staff member.
  • Interfaces with Board members, Events DC staff, customers and government officials.
  • Maintains a comprehensive understanding of Events DC's policies, procedures, and the various business units' methods of operation to conduct duties and responsibilities effectively and efficiently.
  • Maintains utmost security and professionalism and uses discretion when dealing with confidential materials and information.
  • Performs other duties as assigned.
