We are seeking a dynamic, outgoing, and highly organized Attendee Acquisition & Event Production Specialist to drive event attendance, increase engagement, and create excitement around our conferences and events. This role combines attendee recruitment, event registration management, digital outreach, creative marketing support, and hands-on event production to help maximize participation and deliver exceptional event experiences.
The ideal candidate is energetic, persuasive, creative, and comfortable communicating across multiple channels including phone, email, social media, and digital marketing campaigns. This person thrives in a fast-paced environment, knows how to build momentum and "FOMO" around live events, and takes pride in the polished, professional execution of event materials and on-site experiences.
This individual is the day-to-day contact for event attendees and is responsible for leading all communication, project management, customer service, and event production support. They are customer-focused, detail-oriented, highly adaptable, and always looking for opportunities to improve processes and increase efficiency.
Requirements
Attendee Acquisition & Outreach
  • Recruit and engage prospective attendees through phone calls, email campaigns, LinkedIn outreach, and social media engagement.
  • Build and maintain attendee pipelines and contact databases.
  • Conduct personalized outreach to targeted audiences, industry leaders, and decision-makers.
  • Follow up with prospective attendees to encourage registration and increase event participation.
  • Develop and execute attendee growth strategies for conferences, summits, webinars, and networking events.
  • Track outreach performance and attendee conversion metrics.

Registration & Attendee Management
  • Manage attendee registration processes and platforms, including creating events, publishing, pulling reports, and approving registrations.
  • Respond to attendee inquiries regarding registration, schedules, accommodations, and event logistics.
  • Assist with ticketing, confirmations, reminders, and all attendee communications.
  • Maintain accurate attendee records, reporting, and invoicing.
  • Support onsite check-in and registration operations as needed.

Marketing & Social Media
  • Create engaging content to promote events across social media platforms including LinkedIn, Facebook, Instagram, and X.
  • Build excitement and urgency around events through creative campaigns and audience engagement strategies.
  • Assist with email marketing campaigns, promotional calendars, and audience segmentation.
  • Monitor social engagement and recommend strategies to improve reach and conversions.

Event Production & Execution
  • Design and produce event materials including name badges, lanyards, table tents, and signage using Canva.
  • Build and manage walk-in slide decks and on-screen presentations for use during live events.
  • Coordinate production timelines for printed and digital event collateral to ensure materials are ready ahead of deadlines.
  • Collaborate with internal teams to ensure all event branding and materials are consistent and on-brand.
  • Support on-site event execution including setup, registration, and any production-related needs.
  • Assist with post-event wrap-up, including material archiving and process documentation for future events.

Project Management & Operations
  • Create and maintain detailed project plans in Wrike for all assigned events.
  • Manage CRM data (shared with Membership), including reporting and analysis.
  • Process attendee invoicing and payments.

Required Skills & Qualifications
  • Strong verbal and written communication, strategic planning, and project management skills.
  • Ability to be self-directed and goal-oriented in a remote working environment.
  • Analytical and process-oriented mindset with strong attention to detail.
  • Comfortable working across multiple departments in a deadline-driven environment.
  • Active team player and self-starter with the ability to manage multiple projects and events simultaneously.
  • Experience with social media marketing and email marketing platforms.

  • 15% travel required

Preferred Qualifications
  • Bachelors degree in Marketing, Communications, Event Management, or a related field.
  • Experience with project management tools such as Wrike, Asana, or similar platforms.
  • Event planning or event production experience strongly preferred.
  • Proficiency in graphic design tools including Canva and/or Adobe Creative Suite.
  • Familiarity with CRM platforms and data management.
