Arc network is currently seeking an Event Program Manager. This role sits at the intersection of content strategy, speaker relations, and event technology. You'll be the connective tissue across program chairs, marketing, sales, AV teams, and software platforms - ensuring every session, every speaker, and every audience interaction runs flawlessly.
Program development & content
• Collaborate with program chairs to shape engaging sessions and develop the content timeline with marketing.
• Write run-of-show scripts for general, keynote, and mega sessions.
• Edit and proofread event brochures, websites, and promotional materials.
• Apply for and manage CEU accreditation across relevant associations.
Speaker & session management
• Serve as the primary point of contact for all speakers and sponsored session organizers - pre-event through on-site.
• Build and manage speaker, sponsored session, and reviewer service center portals in eShow.
• Collect, coordinate, and edit speaker materials for print and digital promotion.
• Plan and lead keynote pre-conference prep calls; escort and support keynote speakers on-site.
Event technology & platforms
• Manage all A2Z and eShow program agendas, RFP portals, and submission forms across HR and Education portfolio brands.
• Input and maintain all session and speaker data in the conference module for integration with ASP and Brella (agenda and mobile app).
• Build and run pacing and tracking reports; troubleshoot platform functionality issues.
• Research and adopt current and emerging event technology best practices.
On-site execution
• Work with program chairs on room sets and AV requirements; troubleshoot any AV or program issues in real time.
• Provide content for and troubleshoot the event mobile app with the app vendor.
• Support sustainability initiatives to reduce event carbon footprint throughout the planning process.
• Contribute historical data and recommendations to continuously improve event processes.
Requirements
Must-haves
• 3+ years of proven success across all aspects of program production (pre-event, on-site, and post).
• High proficiency with eShow, A2Z, SwapCard, Excel, Outlook, and Teams.
• Exceptional organizational skills and meticulous attention to detail with a proven ability to meet deadlines.
• Strong written and verbal communication skills; ability to work with people from diverse cultural backgrounds and seniority levels.
• Ability to travel ~10-15%, including weekends.
• Bachelor's degree in communications, hospitality, meetings & event planning, or a related field - or equivalent work experience.

• Experience with Wrike or similar project management software.
• Familiarity with CEU accreditation processes.

Physical demands of the job include:
• Performing work in an indoor office environment. Remote work is permitted.
• Operating standard office equipment such as computers, printers, keyboards, monitors, phones, and other telecommunications or internet-enabled communications devices
• Possessing short-distance visual acuity to perform an activity such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal, and/or extensive reading.
• Occasionally lifting and carrying small parcels, packages and other items or walk short distances.
• Travel, as required.
Position Type and Expected Work Hours
This is a regular, full-time position. Work is typically conducted Monday - Friday, during core business hours, between 9:00 AM and 5:30 PM.
