Essential Job Duties
The senior event producer will serve as the primary advisor to, the assistant dean for philanthropy, and the CALS advancement team at large on all matters related to live events and experiences. The senior event producer is responsible for developing and executing a comprehensive event strategy that aligns with the college's and university's mission, vision, and goals. This position will implement and provide oversight of a variety of events. The strategy must identify events that enhance the CALS brand, support its strategic initiatives, and engage key audiences including principal donors, prospects, elected officials, corporate and community leaders, and alumni. The successful candidate for this role will be a highly motivated professional with a record of developing and maintaining strong, effective interpersonal connections with key constituents such as high-level donors, commodity group members and elected officials, to ensure consistent and meaningful communication, fostering trust, and supporting CALS' mission through partnerships and engagement.
This position will work within the university's central event management team and will conceive, manage and implement complex events, including those for high-level VIP guests. The position uses event production best practices and design principles to provide a quality, branded guest-experience for our constituents. This position is also responsible for event risk assessment, volunteer management, vendor management, budget oversight, contracts, and creative directions. Finally, the position will lead efforts to review and analyze event practices and data to evaluate ROI and compliance.
Reporting to the assistant vice chancellor of university special events and experiences-with a dotted line report to the CALS assistant dean for philanthropy-this position will serve as a part of the university special events team and will have a work portfolio focused primarily on the College of Agriculture and Life Sciences. The work of the position will support all areas of the university in conjunction with the strategic priorities of university advancement and the university at large in order to maximize the effectiveness of CALS' special events.
Duties and Responsibilities:
  • Serve as the senior advisor and manager for all advancement live events for the College of Agriculture and Life Sciences.
  • Develop events that engage prospects at scale and meet the strategic needs of the university.
  • Manage all leadership-level event plans to ensure projects and programs adhere to best practices and protocols of the university.
  • Manage internal teams to execute strategic, purposeful events that are on-time and on-budget.
  • Oversees budgets, timelines, and overall outcomes for each event.
  • Manage in partnership the dotted line report of the development associate assigned to events.
  • Manage cross-functional teams, including event coordinators, marketing professionals and external partners to ensure successful event execution.
  • Work closely with communications and marketing teams to ensure consistent and cohesive messaging.
  • Knowledge of local, state and federal regulations and statutes governing the area of work.
  • Advise and prepare briefings for the dean, assistant dean and other college leadership or development team members.
  • Earn credibility and respect across the university with an open and accessible interpersonal style.
  • React and adapt to changing situations with openness to new ideas.
  • Exhibit superb organizational skills, excellent communicator, and the ability to work independently.
  • Identify and resolve issues promptly and respectfully.
  • Assess and determine the best protocol for a given situation.
  • Provide timely post-event follow-up, including tracking data and sending/coordinating personalized follow-ups as appropriate.
  • Collaborate with colleagues to help align guests interests with campus priorities.
Other Responsibilities
Perform other duties as required or assigned. Attend a variety of events throughout the year. Regular travel and occasional night and weekend work is required.
Qualifications
Minimum Education and Experience
Bachelor's degree and three years of experience in the area of assignment, of which at least one is supervisory or in a lead-worker capacity; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Other Required Qualifications

  • 5+ years of experience in the area of event management
  • Event production experience with a variety of delivery and engagement methods including virtual conferencing platforms, Zoom Webinar and Google Meet
  • Experience leading a production team-both for virtual and in-person events
  • Experience with events, marketing and/or donor relations
  • Knowledge of principles and best practices in event planning
  • Volunteer management experience
  • Experience in higher education event management or communications
  • An understanding of the land grant, research Tier One university environment
  • Familiarity with NC State University and the Triangle
