Job Description:
AriensCo Hospitality is seeking a seasonal, part-time Day of Event Coordinator for Round Lake Farms, Stone Prairie, Ariens Nordic Center and other AriensCo affiliated properties and off-site corporate events. This position requires a service-oriented team player, who can effectively manage an array of tasks for multiple events of varying magnitude.
THE DAY TO DAY...
  • Provide exceptional customer service for onsite day-of management of events alongside the Operations Team and Kitchen Team
  • Oversee setup of ceremony and reception spaces according to the couple's vision
  • Serve as the main point of contact for all vendors, wedding party, and family members
  • Ensure vendors contracted through AriensCo Hospitality arrive on time and fulfill contractual obligations
  • Manage the day of events as outlined in the Banquet Event Order (i.e. the wedding timeline) and keep all activities on schedule
  • Direct transitions between major events (ceremony, cocktail hour, dinner, dancing, etc.)
  • Handle unexpected issues discreetly and efficiently
  • Assist clients with timing, organization, and readiness
  • Provide guidance to guests when needed (seating, directions, schedule)
  • Ensure VIPs (parents, wedding party) are informed and in place for key moments
  • Manage deliveries (decor, flowers, rentals)
  • Troubleshoot last-minute changes, delays, or emergencies
  • Ensures adherence of all safety, sanitary, food handling/storage and alcohol beverage control policies.
  • All other duties as assigned

THE QUALIFICATIONS...
  • High school diploma or GED required
  • Bachelor's degree preferred
  • Minimum of 2 years of relevant event planning and sales experience
  • Experience in event planning, hospitality, or weddings preferred
  • Requires flexible availability to include nights and weekends
  • Strong collaboration, communication and interpersonal skills
  • Detail-oriented with strong multitasking capabilities
  • Strong prioritization and organization skills
  • Strong organizational and time management skills
  • Ability to remain calm under pressure and adapt quickly
  • Ability to perform detailed, complex tasks
  • Ability to represent AriensCo appropriately and professionally with third parties and customers
