The Field Service Specialist is responsible for quoting, planning, scheduling, and managing field service orders, with a strong emphasis on spare-parts coordination, material readiness, and service-planning accuracy. This role provides end-to-end support to Field Service Experts, Service Managers, and customers, ensuring each service event is properly scoped, supplied, resourced, and executed.
The Specialist works extensively within SAP to prepare quotes, track service orders, monitor financials, and manage the lifecycle of service jobs. The position requires consistent communication with customers and Voith internal teams and reports directly to the Sr. Manager, Process Technology.
RESPONSIBILITIES:
  • Provide customer specific mill safety requirements to each Field Service Technician prior to the service job.
  • Support of the Technical Service Experts with equipment documentation and drawings.
  • Work in a team with other Field Service Coordinators and service group leaders to manage group schedules and service jobs.
  • Estimate service costs and determine quote price levels.
  • Prepare quotes in SAP according to Voith guidelines - training will be offered.
  • Prepare service contracts in close coordination with service group managers and customers.
  • Provide strong customer focus and the ability to understand customer needs.
  • Support the implementation of Salesforce ticketing system.
  • Manage required spare parts for service jobs and review with Customer Service Specialists (CSS) order and shipment status of needed parts.
  • Manage customer service hotline - On call for one week every two months.
  • Monitor service orders to ensure that they stay within budget and invoice correctly.
  • Conduct risk analysis for large scale service proposals.
  • Review field service reports and distribution to customers and Voith internal resources.
  • Prepare and review time sheets and expenses for invoicing - transfer of information to accounting group.
  • Serve as the primary point of coordination for spare-parts and wears requirements for all assigned service jobs.
  • Collaborate closely with Customer Service Specialists (CSS) to monitor order status, shipment tracking, backorders, and substitutions.
  • Review BOMs, historical job data, and mill standards to ensure parts readiness prior to technician arrival.
  • Support planning meetings to identify long-lead items or special tooling required for upcoming outages and rebuilds.
  • Work with Supply Chain, CSS, and external vendors (when applicable) to ensure on-time parts availability and communicate delays or risks proactively.

QUALIFICATIONS:
  • Associate or Bachelor's degree in Business Administration or mechanical technology/engineering
  • Proficient in Windows based programs such as Word, Excel, Power Point, and Outlook.
  • SAP experience
  • Strong communication skills, verbal, and written
  • Strong organization skills needed
  • Excellent customer relations skills
  • Paper industry experience preferred

PHYSICAL DEMANDS:
Employees in this position are regularly required to walk, stand and use hands to finger, handle or feel. They are frequently required to reach with hands and arms. They are occasionally required to sit, stoop, kneel, crouch, or crawl and talk or hear and regularly required to lift 10 pounds and occasionally required to lift up to 25 pounds. Safety glasses, hearing protection and other PPE are required in designated areas.
