Schedule: Monday through Friday | 8:00 AM - 5:00 PM (Hours may vary based on special events and operational requirements.)
Position Overview
Citadel Security USA is looking for an organized and proactive Operations Coordinator - Event Staffing & Administrative Support to join our Operations Team in Grand Junction. This position is responsible for coordinating security staffing, supporting event logistics, maintaining operational records, and assisting leadership with the daily administration of security operations.
Success in this role requires excellent organizational skills, strong communication abilities, and the flexibility to manage multiple priorities in a fast-moving environment. Primary Responsibilities
Scheduling & Workforce Coordination
  • Coordinate staffing assignments for special events, temporary projects, and recurring client contracts.
  • Build and maintain employee schedules using workforce management software.
  • Send work assignments, shift reminders, and schedule updates to field personnel.
  • Monitor employee availability, attendance, call-offs, and schedule adjustments.
  • Assist with emergency staffing requests and last-minute operational changes.
  • Maintain an updated event calendar to support operational planning.

Administrative Operations
  • Enter client information, staffing details, and event schedules into company systems.
  • Maintain organized records supporting payroll, invoicing, and operational reporting.
  • Prepare staffing summaries, deployment reports, and operational documentation.
  • Organize electronic files and maintain accurate scheduling records.
  • Support onboarding logistics and operational setup for new client assignments.
  • Assist leadership with administrative projects and department initiatives.

Communication & Team Support
  • Serve as a communication resource for Operations Managers, Supervisors, and Security Officers.
  • Respond to scheduling inquiries from employees and management.
  • Distribute assignment details using phone, email, text messaging, and scheduling platforms.
  • Ensure employees receive timely updates regarding assignments, reporting instructions, and operational expectations.
  • Maintain professional communication with clients, vendors, and internal departments.

Event Operations
  • Assist with planning security coverage for special events throughout the region.
  • Participate in operational planning meetings and staffing discussions.
  • Help coordinate event logistics before, during, and after scheduled operations.
  • Support continuous improvements to scheduling processes and operational efficiency.
  • Provide administrative support during high-volume operational periods.

Required Qualifications
  • High school diploma or GED.
  • Valid driver's license with reliable personal transportation.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to prioritize multiple deadlines while maintaining accuracy.
  • Strong customer service and interpersonal skills.
  • Ability to maintain confidentiality regarding employee and client information.
  • Successfully pass a background check and verify authorization to work in the United States.

Preferred Qualifications
  • One year or more of experience in scheduling, dispatching, workforce coordination, logistics, administrative support, or operations.
  • Previous experience supporting private security, event management, staffing, transportation, or service-based operations.
  • Experience using TrackTik or comparable workforce management software.
  • Familiarity with payroll support, operational reporting, or scheduling administration.
  • Strong analytical, organizational, and problem-solving abilities.
