Job description

The Express Meeting Manager is responsible for selling and booking express meetings and events with attendance of up to 200 guests, as well as managing all City of College Park event bookings hosted at the Georgia International Convention Center (GICC) and Gateway Center Campus.
This position serves as the primary point of contact during the sales and booking process, guiding clients from the initial inquiry through contract execution and event booking. Responsibilities include preparing proposals, contracts, booking recaps, and coordinating the collection of event details necessary for a successful handoff. Once the booking is confirmed, the event is transitioned to an Event Manager (EM) and Catering Sales Manager (CSM), who assume responsibility for detailed event planning, execution, and final billing. The Express Meeting Manager also provides logistical assistance for City of College Park events held throughout the Gateway Center Campus, as needed.
Essential Duties and Responsibilities
  • Serve as the primary point of contact for all express meetings and group bookings of up to 200 attendees.
  • Manage all City of College Park events hosted at the Georgia International Convention Center and Gateway Center Campus.
  • Prepare and distribute proposals.
  • Conduct client site inspections and planning meetings to ensure event expectations are clearly understood and documented.
  • Monitor event timelines and ensure all planning deadlines are met.
  • Maintain accurate event records within the venue management system.
  • Resolve client concerns and operational issues promptly while maintaining a high level of customer satisfaction.
  • Develop and maintain strong working relationships with clients, city officials, vendors, and internal stakeholders.
  • Perform other duties as assigned.

Qualifications
  • College degree is preferred with some hospitality, sales, catering, and/or event services experience.
  • Minimum of 2-3 years of experience in convention center, hotel, venue, or event management preferred.
  • Experience managing meetings, conferences, banquets, or special events.
  • Strong organizational and time management skills with the ability to manage multiple events simultaneously.
  • Excellent written and verbal communication skills.
  • Strong customer service and relationship-building abilities.
  • Ability to work independently while collaborating effectively with multiple departments.
  • Detail-oriented with excellent problem-solving and decision-making skills.
  • Knowledge of convention centers, hospitality, catering, and event planning operations.
  • Ability to interpret contracts and event specifications.
  • Ability to prepare accurate proposals, contracts, booking recaps and event documentation.
  • Ability to prioritize multiple deadlines in a fast-paced environment.
  • Strong interpersonal skills with the ability to build positive relationships with clients, colleagues, city officials, and vendors.
  • Ability to remain calm and professional while managing multiple events and high-profile functions.
  • Proficiency in Microsoft Word, Excel, Outlook, and Delphi.

Education:
  • High school diploma or equivalent required.
  • Associate degree or bachelor's degree preferred.

Work Environment
This position operates in both an office environment and throughout the Georgia International Convention Center and Gateway Center Campus. The role requires flexibility to support meetings and events during evenings, weekends, and holidays based on the event calendar
