Domaine Willamette is looking for an energetic Ambassador of Events Lead to join our world-class class mรฉthode traditionnelle sparkling winery. Overview of Position:

Leads the sales and operations of private events and offsite events. During peak Tasting Room times, this position works in the tasting room supporting or acting as a Tasting Room Associate as needed. When there is no event booked, provides admin support for location to include scheduling meetings, facilities and vendors for events

Primary Responsibilities:

  • Work with the Chef, Ambassadors, Tasting Room Leads and General Manager to execute annual Winery Events.
  • Point of contact for all Domaine Willamette event inquiries. Respond to all email, phone and in-person inquiries within a reasonable timeframe of our offerings.
  • Tour potential clients through the facility or set up tours with Ambassadors or other key managers.
  • Assemble proposals, BEOs with pricing guidance, Event plans, schematics, timeline communication as well as digital and hardcopy event folders.
  • Create calendar invites notifying the appropriate team members of the event, times, spaces.
  • Invite the CEO to all events that have VIPs as an FYI.
  • Ring venue, wine and food sales through POS.
  • Manage event contracts, deposit and payments, and request staff or schedule event staff
  • Assist in training event staff to setup and service standards.
  • Assists with communication and acts as a point of contact for all Private Events in coordination with Lead TRA's.
  • Work to promote new ideas to increase event revenue.
  • Develop relationships with vendors, caterers, and event planners to ensure high-quality events.
  • Help plan, staff and license offsite events as needed and approved by the Domaine Willamette GM.
  • Manage event budgets, timelines, and logistics to include labor.
  • Oversee and train event staff to ensure exceptional customer service.
  • Ongoing timely communication with Tasting Room Leads, General Manager for all event
  • Coordination with Marketing Team for Events planning and promoting
  • Oversees smooth progress of events by being present on the day of the event
  • Conducts post-event review execution, success, and learning
  • Regularly submit event calendars to keep all staff aligned with event times and staffing needs.
  • Other duties as assigned by the Domaine Willamette General Manager.
  • Supports Companyโ€™s effort to create a more sustainable, cross-cultural and โ€œgreenโ€ environment.

Must have:

  • 5 years of direct sales and/or management experience
  • Excellent communication and interpersonal skills.
  • Highly developed organizational and time management skills.
  • A high degree of accuracy and attention to detail.
  • Ability to use Microsoft Office Suite, including Word and Excel.

Must be able to :

  • Lift 40lbs and navigate stairs and hilly terrain.
  • Stand for long periods of time.
  • Work weekends and occasional evenings.
  • Work well in a fast-paced environment
  • Effectively present information and respond to questions appropriately.
  • Multi-task, work independently and as part of a team. Build team dynamics and synergy across departments.
  • Must be independently motivated to identify and resolve issues, at department-level.
Requirements:
  • High school diploma or similar.
  • A valid/current OLCC and Food Handlerโ€™s Card (or be willing to obtain one prior to start date).
  • Must be willing to work weekends, evenings, holidays, and on-site winery events. Most of these events are held over holiday weekends such as Memorial Day and Thanksgiving
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Communicate through active listening skills and gather insight into human behavior.
  • Knowledge of Commerce 7, TOCK, Square and Google Suites a plus
