Job Summary:

The Lease Administrator is responsible for administering and enforcing key leaserelated compliance functions with a primary focus on estoppel certificates, subordination nondisturbance and attornment agreements (SNDAs), landlord reimbursement collections, and insurance certificate compliance. This role ensures accurate lease interpretation, timely execution of transactionrelated requests, and consistent protection of the company's contractual and financial interests, while supporting essential lease administration and compliance activities.

The ideal candidate will have strong analytical skills, attention to detail, and the ability to manage deadlines and prepare legal documents. Success in this role requires excellent communication, proficiency in lease administration systems, and the ability to build effective relationships with landlords and internal stakeholders.

What will you do?

Estoppels & SNDAs

  • Prepare, review, and process estoppel certificates in accordance with lease terms, lender requirements, and established turnaround timelines.

  • Coordinate the execution of SNDAs with landlords, lenders, legal counsel, and internal stakeholders in support of financings, refinancings, and dispositions.

  • Review lease documents to confirm representations related to rent, reimbursements, defaults, options, amendments, and termination rights.

  • Track all estoppel and SNDA activity to ensure timely completion, proper approvals, and audit readiness.

  • Identify lease discrepancies, outstanding defaults, or financial inconsistencies discovered during estoppel or SNDA review and escalate as appropriate.

Landlord Reimbursement Collections

  • Administer landlord reimbursement billing and collections as defined in lease agreements.

  • Coordinate with accounting, property management, and landlords to support accurate billing, reconciliation, and collection efforts.

  • Maintain organized documentation supporting reimbursement calculations, billing, and collections.

Insurance Certificate Compliance

  • Deliver tenant insurance certificates in accordance with lease requirements.

  • Review Certificates of Insurance (COIs) to ensure coverage types, limits, endorsements, and additional insured provisions meet contractual standards.

Systems, Reporting & Process Improvement

  • Maintain accurate lease compliance activities within lease administration systems.

  • Identify opportunities to improve efficiency through process refinement, system optimization, and the use of AIenabled tools where appropriate.

Qualifications:

  • Working knowledge of commercial lease administration, including estoppels, SNDAs, reimbursements, and insurance provisions.

  • High attention to detail with the ability to manage multiple deadlines and transactiondriven requests.

  • Strong written and verbal communication skills with the ability to work crossfunctionally with Legal, Accounting, Property Management, Construction, and Landlords.

  • Organization & Accuracy: High attention to detail, reliable record-keeping, and deadline-driven execution across multiple properties.

  • Proficiency with lease administration systems and reporting tools (e.g., Lucernex, OfficeTrax, or similar platforms).

  • Proven ability to identify risks, resolve discrepancies, and maintain compliance with lease obligations.

Certifications, Experience, and Education:

  • Certifications:None

  • Experience:1-3 years of experience in administrative assistance, lease administration or similar experience

  • Education:Associate's Degree; or equivalent combination of education and experience.

Location & Work Availability:

This role is designated as remote; however, candidates must be available to work onsite at our Roanoke, VA corporate office based on business needs, typically 1-2 days per week.
