What does an Estate Manager do?

An Estate Manager is responsible for overseeing the daily operations and management of a private estate or large property. Their duties typically include supervising staff, managing budgets, coordinating maintenance and repairs, organizing events, and ensuring the security of the property. Estate Managers also handle vendor relationships and may assist with household administration or personal requests from the property owners. Their main goal is to ensure the smooth and efficient running of the estate.

What Does an Estate Manager Do?

As an estate manager, your job is to provide management of a household for its owner. This includes overseeing all other staff, ensuring the owner's activities remain as private as they desire, and creating a plan to ensure the upkeep of the property. Estate managers often have significant authority to make decisions for the property, including hiring and firing contractors, ordering landscaping, and managing security. Your daily duties vary based on the estate. Some estates have extensive grounds and require more tending, while others have unique buildings, golf courses, vineyards, or even private airports that need supervision. Regardless of the details of the estate, you must be adaptable and responsive to the desires of the owner.

What are some common challenges Estate Managers face when overseeing multiple properties, and how can they address them?

Estate Managers often juggle the complexities of managing several properties, each with unique maintenance needs, staff, and budgets. Coordinating schedules, ensuring consistent quality across all locations, and communicating effectively with various vendors and household staff can be challenging. To address these issues, successful Estate Managers use robust organizational tools, delegate tasks appropriately, and foster clear communication channels among teams. Regular site visits and proactive maintenance planning also help prevent issues from escalating.

Job description

Full-Time Estate Houseman | Palm Beach, Florida

Schedule: Wednesday through Sunday is ideal, with flexibility for the right candidate
Reports To: Estate Manager
Compensation: Up to $100,000 base salary per year, commensurate with experience
Benefits: Full benefits package
Local candidates only!

A private Palm Beach family, our repeat client whom we think highly of, is seeking a Houseman to join the estate team. This is a full-time, exterior-focused role on a stunning oceanfront property with significant grounds and outdoor spaces, reporting directly to the Estate Manager.

This role is a great fit for someone early in their private service career, not someone with twenty-plus years of experience. The ideal candidate is still learning the ropes of private and luxury service, and a few years of luxury hospitality or yacht experience would be a welcome foundation. What matters most is energy and attitude: high energy, motivated, a great listener, someone who takes feedback and direction well, and who genuinely wants to be a hands-on, collaborative member of the estate team.

No two days look the same in this role. One moment you might be cleaning out the outdoor fountains, the next you're tackling the grill or powerwashing the walkways. The right person takes real pride in maintaining an immaculate exterior environment, is proactive, follows through without being reminded, and is excited to keep learning and growing as they go. A hospitality background is a genuine plus, since the family entertains and a warm, natural presence with guests goes a long way.

Responsibilities

  • Maintaining the full exterior of the property, including patios, terraces, stairwells, driveways, and hardscape
  • Regular cleaning of first-floor exterior windows and cobweb removal throughout all buildings
  • Pool setup and upkeep, including heater, towels, furniture, and umbrellas
  • Fountain maintenance and general grounds cleanliness
  • Weekly seawall inspection with photos uploaded for the Estate Manager
  • Weekly landscape lighting walkthrough with a written report of anything needing attention
  • Keep planters clean
  • Outdoor kitchen and BBQ maintenance and cleanliness upkeep
  • Fire pit maintenance, including understanding how they operate and keeping them clean
  • Wiping of exterior doors and door tracks
  • Garage organization, tool inventory, and upkeep of mechanical rooms and storage areas
  • Receiving, wiping down, and distributing packages for the principals
  • Vehicle care and regular car wash runs
  • Trash and recycling removal
  • Troubleshooting household systems and working with exterior vendors on property
  • Assisting with events and dinner parties, including furniture arrangement, valet assistance, and greeting guests

Qualifications

  • Must be within a commutable distance to Palm Beach, Florida
  • Must be legally authorized to work in the US
  • 3+ years of experience in luxury hospitality, yacht service, or a private estate environment is welcomed, though extensive tenure is not required
  • Must be English speaking; Spanish speaking is a plus
  • Must be willing to undergo a thorough background check and provide strong employment references
  • Comfortable troubleshooting household systems and working closely with outside vendors
  • Clean driving record required
  • Professional presentation and a genuine service mindset
  • Must be able to lift 30+ pounds
