A private real estate development firm is seeking an exceptional Chief Executive Personal Assistant to support the Owners/Founders across both business and personal operations. This role functions as a hybrid between a senior executive assistant and a chief‐of‐staff, requiring a highly organized, strategic professional who can operate at a fast pace and manage complex, detail‐intensive priorities within the real estate development environment. Candidates must have 5–20 years of executive‐level support experience and demonstrated, hands‐on knowledge of the full development lifecycle, including land acquisition, entitlement, design, construction, and asset management. Only candidates with direct experience supporting a real estate developer, owner, or principal will be considered.


About the Role

You will serve as the Owners’ right hand and operational extension—managing schedules, coordinating development‐related tasks, enforcing priorities, and ensuring daily operations run with precision. You will interface with contractors, architects, city officials, investors, and internal team members, requiring exceptional professionalism, discretion, and communication. This role demands someone who can anticipate needs, streamline decision‐making, and maintain order in a fast‐moving, detail‐heavy environment.


Key Responsibilities

  • Executive Calendar & Priority Management — Control and optimize the Owners’ schedules; enforce priorities; ensure alignment with development timelines and strategic objectives.
  • Project Coordination & Operational Oversight — Track development timelines, monitor milestones, and ensure deliverables are met across multiple active projects.
  • Critical Path & Workflow Management — Review corporate and project schedules; identify bottlenecks; drive follow‐through on time‐sensitive tasks.
  • Executive Communication Management — Draft and manage emails, calls, and correspondence with vendors, partners, investors, and internal teams; ensure timely follow‐ups and clear communication flow.
  • Decision Support — Gather information, prepare summaries, and provide the Owners with concise, actionable updates to support rapid decision‐making.
  • Travel & Site Visit Planning — Arrange travel, prepare itineraries, coordinate site visits, and ensure all trip objectives are met.
  • Meeting Preparation & Documentation — Prepare agendas, compile project updates, assemble reports, and document meeting minutes with accuracy and clarity.
  • Personal Assistance & Household Coordination — Manage personal scheduling, reservations, errands, and household‐related tasks as needed.
  • Confidential Support — Handle sensitive information with absolute confidentiality and discretion.


Qualifications

  • Deep, hands‐on experience in real estate development, including development planning, construction management, project coordination, and property operations.
  • Exceptional organizational, prioritization, and multi‐tasking skills.
  • Strong written and verbal communication abilities.
  • Strong interpersonal skills and professional presence.
  • Ability to anticipate needs, solve problems independently, and maintain control in fast‐moving environments.
  • Tech‐savvy; proficient in Office 365 for Business.
  • Polished communication style and professional demeanor.
  • Ability to confidently manage and direct individuals interacting with the CEO and VP of Real Estate.

Required Experience

Minimum 5 years of experience supporting developers, contractors, architects, or real estate investors.
