WESTERN TITLE DIVISION

Job Description:

We are seeking an experienced, detail-oriented, and customer-focused Escrow Assistant to support our Escrow Officers and team throughout residential refinance and sale transactions. The ideal candidate will have two or more years of relevant escrow experience and thrive in a fast-paced environment where accuracy, organization, and exceptional service are essential.

The Escrow Assistant plays a key role in ensuring transactions move efficiently by providing administrative, processing, and communication support while maintaining professionalism and attention to detail throughout the closing process.

Essential Responsibilities

  • Open new escrow orders and maintain accurate transaction files.

  • Receive and process escrow funds and distribute receipts to appropriate parties.

  • Support refinance and sale transactions by:

    • Clearing liens

    • Ordering payoff demands

    • Distributing commitments/preliminary reports

    • Ordering surveys when applicable

  • Upload and organize documents within the electronic filing system.

  • Prepare funding packages, provide lender conditions, and process lender funds.

  • Communicate with principals, agents, lenders, and other parties regarding transaction updates and required information.

  • Coordinate tasks with Central Processing Unit, Title, and internal team members.

  • Thoroughly document all conversations, actions, and updates within transaction files.

  • Stay current on company policies, industry regulations, procedures, and emerging technologies.

  • Support special projects and team initiatives as assigned.

  • Provide backup support to reception and other administrative functions as needed.

  • Maintain confidentiality and deliver exceptional customer service at all times.

Qualifications & Skills

  • Minimum of 2+ years of relevant escrow experience required.

  • Strong organizational skills with exceptional attention to detail.

  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.

  • Basic understanding of accounting principles, including debits and credits.

  • Proficiency in Microsoft Office Suite and Outlook.

  • Excellent written and verbal communication skills.

  • Ability to work independently, exercise sound judgment, and take initiative.

  • Professional, dependable, and adaptable with a positive attitude.

  • Strong interpersonal skills with the ability to collaborate effectively across teams and with clients.

  • Willingness to continue learning industry procedures, systems, and technology.

The estimated pay range stated represents the typical pay range for this position or similarly employed employees or employees performing substantially similar work. Factors which may be used to determine the actual pay rate may include, but are not limited to, education, training or experience; seniority; merit and work performance; quantity or quality of production; regional differences in compensation; differences in local minimum wages, or ability and effort.

Position's Pay Range:

$33.00 - $35.00 per hour.
