Job description

The Human Resources Assistant serves as the primary point of contact for employees and visitors, playing a key role in creating a welcoming and supportive HR experience. This position provides high-level, confidential administrative support across all functional areas of Human Resources, ensuring accuracy, timeliness, and professionalism in all interactions. The role is integral to the day-to-day operations of the department and contributes to fostering a collaborative, positive, and service-oriented team environment.

  • High School Diploma or GED
  • 1-3 years of experience required, 3-5 years preferred
  • Prior Human Resources experience preferred.
  • Excellent verbal and written communication skills. 
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.  
  • Answers questions from applicants and employees relative to standard policies and hiring processes; triages and refers more complex questions to appropriate senior level HR staff.
  • Maintains the integrity and confidentiality of human resources files and records.
  • Serves as primary onboarding responsibilities including meeting, reviewing, and ensuring all onboarding checklist items are accurate and complete. 
  • Primary administrative support to the Assistant Vice President of Human Resources, as well as general support to the department. 
  • Maintains accurate and up-to-date human resources records, documentation, and employee files.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately. 
  • May assist with data entry into Oracle and benefits administration.
  • May assist with planning and execution of special events such as employee recognition events, celebrations, new hire orientations, etc.
  • Assists with processing of college invoices, department ordering, and employment verifications.
  • Assists with various state and federal reporting requirements and special projects.
  • Perform other related duties as assigned and based on departmental need.
