Job description

Title:  Human Resources Generalist

Status:  Part-time, nonexempt (roughly 20 hours/week)

Location:  Mark Jacobson Toyota 4516 Durham Chapel Hill Blvd, Durham, NC 27707 (100% on site)


Position Summary

The Human Resources Assistant provides administrative and operational support for the Human Resources department by assisting with payroll processing, employee onboarding and offboarding, benefits administration, recruiting, recordkeeping, and compliance. This role helps ensure HR processes are completed accurately and on time while delivering excellent customer service to employees and managers.

This position reports directly to the Human Resources Manager.

Schedule
  • Part-time (approximately 20 hours per week)
  • Flexible weekday schedule; option to work full time through the holidays (mid Nov-mid Feb)
Essential Duties and ResponsibilitiesPayroll Administration
  • Review employee timecards for accuracy.
  • Assist with biweekly payroll processing.
  • Process payroll corrections and off-cycle checks.
  • Prepare payroll reports and maintain payroll records.
  • File payroll documentation electronically.
  • Assist with retirement and HSA contribution processing.
  • Distribute payroll checks when necessary.
Recruitment & Hiring
  • Post open positions on recruiting platforms.
  • Coordinate interviews with hiring managers.
  • Send background checks, MVRs, and drug screening requests.
  • Prepare pay plans and onboarding materials.
  • Communicate with candidates throughout the hiring process.
New Hire Onboarding
  • Prepare new hire paperwork and electronic personnel files.
  • Complete I-9 verification and maintain compliance.
  • Create employee accounts in company systems.
  • Assist new employees with email, HRIS, and required software access.
  • Coordinate orientation and facility tours.
  • Order uniforms and name badges as needed.
Employee Offboarding
  • Process employee separations.
  • Disable system access and collect company property.
  • Organize terminated employee files.
  • Coordinate final paperwork and benefit notifications.
Benefits Administration
  • Assist employees with benefit enrollments and changes.
  • Process qualifying life event requests.
  • Respond to employee benefit questions.
  • Coordinate with insurance brokers as needed.
  • Assist during annual Open Enrollment.
Retirement Administration
  • Process retirement plan changes.
  • Monitor employee eligibility.
  • Assist employees with retirement plan questions.
HR Administration
  • Maintain accurate employee personnel files.
  • Scan and electronically file HR documentation.
  • Maintain confidential employee records.
  • Order employee apparel and recognition items.
  • Coordinate employee flowers or gifts for life events.
  • Prepare HR reports and spreadsheets.
  • Maintain HR calendars and schedules.
Workers' Compensation & Safety
  • Collect and maintain workers' compensation documentation.
  • Report workplace injuries as directed.
  • Maintain OSHA logs and related records.
  • Coordinate communication between employees and workers' compensation carriers.
Compliance
  • Maintain I-9 records and personnel files.
  • Assist with employment law compliance documentation.
  • Maintain confidential HR records in accordance with company policies.
  • Support HR audits as assigned.
Additional Responsibilities
  • Assist with DMV licensing and dealer plate administration.
  • Provide excellent customer service to employees and managers.
  • Support special HR projects as assigned.
  • Perform other administrative duties as needed.
Qualifications
  • High school diploma required; Associate's degree in Human Resources, Business, or related field preferred.
  • Minimum of 2 years of HR experience preferred.
  • Payroll or benefits administration experience is a plus.
  • Experience with ADP or similar HRIS preferred.
  • Proficiency in Microsoft Office, especially Excel and Outlook.
  • Excellent organizational skills with strong attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
Physical Requirements
  • Ability to sit, stand, and walk throughout the workday.
  • Ability to occasionally lift up to 25 pounds.
  • Frequent use of computers and standard office equipment.
