Job description

  • As part of Dallas ISD's Department of Human Capital Management, the Visa Specialist will assist the Visa Coordinators with day-to-day functions of the visa department. The specialist will assist with communicating with H1-B and J-1 eligible candidates on the visa process as well as gather documents to help assist with timely visa submissions.

  • Assist with the day-to-day functions related to all district employees on employment authorizations (OPT, H1B, J1, F1 etc.).

  • Assist in short and long-range planning of the extension of H1B status and permanent residence process for eligible employees.

  • Monitor the electronic records (Oracle) of employees with any type of work authorization to help ensure the employee maintains valid work authorization and renews their status in a timely manner.

  • Serve as liaison between the employee and the Manager, Talent Acquisition, providing information and instruction, such as schedule appointments as needed to discuss the individual's legal status and implications to their employment.

  • Assist with addressing the needs/concerns of campuses recommending a candidate for hire requiring H1B visa sponsorship with the Talent Leader Acquisitions, and provide timely updates of the progress of a new hire with the campus, Human Capital Management staff, and Talent Leader Acquisitions.

  • Assist with tracking the collection and verification of all required documentation to ensure timely submission.

  • Maintain the Public Information File (H1B visa filing system) as per Department of Labor guidelines, process routine correspondence, place and receive telephone calls and recorded messages.

  • Provide support to employees under work authorizations, such as employment verification to third parties, requests for travel packets, and assist with preparation on extensions of H1B status and Application for Labor Certification.

  • Provide support to HCM staff on I-9 verification and filing for employees under work authorizations (OPT, H1B, J1, F1 etc.).

  • Organize and maintain an accurate and efficient filing system to ensure all visa are secure.

  • Accredited High School Diploma or equivalent (U.S.A. equivalency).
  • 2 years' directly related experience.

  • Strong attention to detail and ability to maintain accurate records.

  • Problem solving/investigative skills to research and respond to inquiries.

  • Ability to manage multiple priorities simultaneously.

  • Ability to effectively interact with all levels of district personnel.

  • Excellent organizational, prioritization, communication, customer service, and interpersonal skills required to achieve the goals of the position.
