Description:

The UPC Specialist is responsible for maintaining accurate and complete UPC and item attribute data across internal and external systems, with a primary focus on the OpenText UPC Catalog.

This entry-level role ensures that all required UPC information is properly maintained for Wholesale account needs.

The UPC Specialist also supports EDI item data accuracy by reviewing SAP error reports and helping resolve data issues that prevent successful EDI 832 catalog file generation.

Responsibilities:

 

OpenText UPC Catalog Maintenance 

  • Enter, update, and validate UPCs and item attributes within the OpenText UPC Catalog. 
  • Ensure all product information adheres to GS1 standards and meets customer-specific data requirements. 
  • Conduct routine data checks to identify missing, incorrect, or inconsistent item attributes. 
  • Maintain accurate packaging hierarchies, case pack information, and product details. 
  • Identify and resolve OpenText catalog errors by reviewing system validations, correcting incomplete or inaccurate fields, and coordinating with internal teams when data updates are required. 

 

Off-Price UPC Details Support 

  • Provide UPC Catalog related item data needed for off-price customer submissions. 
  • Ensure UPC Catalog accuracy on off-price worksheets, forms, and customer-specific templates. 
  • Partner with Manager and internal teams to confirm that item data provided to off-price accounts aligns with internal records. 

 

EDI 832 Data Support (SAP Error-Based) 

  • Monitor SAP error reports for missing or incorrect data fields that prevent EDI 832 file generation. 
  • Correct incomplete or inaccurate item data in SAP or escalate issues to the appropriate teams. 
  • Document recurring data errors and assist in basic root-cause identification. 
  • Collaborate with Merchandise and Data Operations teams to ensure timely resolution of item data blocks. 

 

Cross-Functional Coordination 

  • Communicating data needs or discrepancies clearly and professionally. 
  • Support internal teams by providing UPC information as needed for line reviews, product updates, and account submissions. 

 

Data Quality & Documentation 

  • Keep documentation up to date related to UPC assignment steps, catalog submission guidelines, and basic troubleshooting procedures. 

Requirements:

  • Bachelors degree or equivalent experience
  • 2-4 years of experience in data entry, item setup, sales operations, supply chain, or related administrative roles. 
  • Strong attention to detail and commitment to data accuracy. 
  • Basic understanding of UPCs/GTINs or willingness to learn GS1 standards. 
  • Proficiency with Excel (sorting, filtering, VLOOKUP preferred). 
  • Ability to work collaboratively and communicate clearly. 
  • Strong organizational skills with the ability to manage multiple tasks.
