This role is critical in ensuring a seamless experience for visitors, employees, and candidates, while supporting our broader HR and administrative processes.


In this role, you will be responsible for handling a variety of HR related administrative tasks and will provide clerical support to the HR department and employees regarding human resources related activities, policies, processes, and procedures. This includes completing ad hoc tasks for our CEO and GM and handling front-desk related duties for our facility. While an understanding of HR processes and practices would be definite plus, we are really looking for someone with demonstrated MS Office proficiency, who enjoys working in a support role and is able to work independently.


The incumbent in this entry-level support role must be self-motivated and may use initiative and judgment to set/adjust priorities and work-order but must seek guidance from supervisor when confronted with unfamiliar situations or problems/deviations

The Job

  • Front Desk & Office Support:
    • Provide front-desk coverage, including greeting visitors and ensuring compliance with standard operating procedures (SOPs).
    • Execute appropriate SOPs during unannounced FDA audits.
    • Manage building access cards and handle incoming mail for the CEO.
  • Recruiting & Onboarding:
    • Facilitate pre-employment background checks, including education and employment verification.
    • Post open job positions on university platforms, labor boards, and outreach websites.
    • Receive, organize, and upload resumes from Handshake.
    • Prepare new employee files and ensure accurate document filing.
    • Assemble New Hire Orientation packets and materials.
    • Assist HR Generalists with scheduling interviews, updating the HRIS system, and refreshing job postings.
  • Purchasing & Supplies:
    • Complete assigned purchasing duties such as ordering name plaques, managing the printer cartridge inventory and processing orders, etc.
  • Event & Meeting Coordination:
    • Support catering requests for DTP3 facility events and meetings.


Work Location

  • This job will be 100% QPS-office/facility based
  • Work Schedule is 8:00am – 5:00pm, with a one-hour unpaid lunch


Requirements

  • H.S. Diploma or equivalent
  • 1-2 years’ experience preferred in an administrative support role
  • Ability to interact effectively and project professional image with employees, clients, vendors, and the general public.
