Position Overview

The Crossroads Group is seeking a professional, organized Relationship Manager to support client communication, meeting scheduling, preparation, follow-up, and general team support. This role serves as a key client contact and helps ensure meetings, materials, and service requests are handled accurately and efficiently.  

This is an on-site, full-time role (40 hours/week) in a collaborative, relationship-driven financial services practice.

What You'll Do

Client Communication and Service

  • Serve as a professional first point of contact for clients by phone, email, and in person.
  • Respond to routine client questions, service requests, confirmations, reminders, and follow-ups.
  • Route complex items to the appropriate team member.
  • Maintain confidentiality and handle client information with discretion.

Meeting Scheduling and Calendar Management

  • Schedule, confirm, and reschedule client meetings, including annual reviews.
  • Manage team calendars and coordinate logistics for in-office, phone, and virtual meetings.
  • Track upcoming meetings and help ensure the team is prepared in advance.

Meeting Preparation and Follow-Up

  • Prepare agendas, client packets, reports, forms, and other meeting materials.
  • Review client files for needed documents, outstanding items, and follow-up tasks.
  • Update CRM records and assist with post-meeting follow-up.

Administrative and Team Support

  • Provide administrative support to The Crossroads Group and client service team.
  • Prepare correspondence, maintain files, scan documents, and support onboarding workflows including business submission.
  • Provide backup coverage to administrative team members as needed.
  • Use Microsoft Office, Outlook, CRM systems, Zoom, Teams, Calendly, Co-Pilot, and other firm technology accurately and efficiently.
  • Complete other administrative duties as assigned.

Qualifications

  • Administrative, client service, scheduling, or office support experience preferred.
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Financial services, insurance, banking, or professional services experience helpful.
  • Strong communication, organization, follow-through, attention to detail, and confidentiality.
  • Proficiency with Microsoft Outlook, Word, Excel, Teams, Zoom, Calendly, CRM systems, Co-Pilot, and general office technology.
