Registrar and Administrative Assistant - Douglas ESD
Douglas Education Service District is looking for a highly motivated, detail-oriented, computer proficient individual to join our team as an Administrative Assistantย that will also serve as the Registrarย for our Horizons Alternative Education Program and Juvenile Detention Program.ย ย 


210 days per year, 5 days per week, 8 hours per dayย to begin in August 2026.ย

JOB SUMMARY:
This position provides support for the Horizons Alternative Education Program and Juvenile Detention Program by managing front office operations, student registration and records, attendance, health services, and program compliance. Serves as the primary registrar while supporting program operations through accurate recordkeeping, communication, and administrative coordination.


DUTIES:

  • Primarily serves as the office manager and registrar in the Horizons alternative education program.
  • Provide front office coverage by managing student and visitor check-in/check-out, answering phones, and processing mail, deliveries, and communications.
  • Monitor and maintain accurate student attendance records.
  • Perform Health Aide responsibilities, including maintaining required certifications (e.g., CPR/First Aid, Medication Administration), securing and tracking medications, managing health supplies, and maintaining accessible student health records and emergency protocols; communicate relevant health information to school staff as appropriate.
  • Responsible for school registrar duties, including student enrollment (intake) processes, data entry into student information systems, records requests, student withdrawal and exit processes, ensuring completeness of records, timely transfer of cumulative files, and processing of report cards, transcripts, and diplomas
  • Conduct student re-entry and transition follow-up, including verifying post-exit placements, updating student information systems, and completing required transition data collection.
  • Assist in the administration of grants, contracts, and subcontracts, including maintaining records, tracking requirements, and compiling data for required reports.
  • Support coordination and administration of statewide assessments in compliance with testing protocols.
  • Support completion of required state and federal reporting, including but not limited to Title I-D and immunization reports.
  • Track and manage subscriptions and service agreements, including renewals and cancellations as directed.
  • Support special education record management by collaborating with assigned case managers to ensure student files are complete, accurate, and up to date.
  • Other duties as assigned.

QUALIFICATIONS

  • High School diploma or equivalent.
  • Minimum of 2 years of experience in office work is preferred.
  • Ability to work efficiently with attention to detail.
