Position: Engagement Coordinator
Department: Engagement & Events
Reports To: Director of Engagement
Schedule: 12-Month/Part-Time/29 Hours Per Week/Non-Exempt
Location: Welcome Center
Position Summary:
The Engagement Coordinator is a 12-month, part-time position reporting to the Director of Engagement. This role provides administrative excellence and operational support for the Engagement team while helping execute programs, events, and initiatives that strengthen relationships across the CHCA community.
The Engagement Coordinator serves as a key partner in ensuring data accuracy, event readiness, volunteer engagement, and seamless communication delivery. This position coordinates behind-the-scenes logistics that enable successful engagement experiences for current families, alumni, grandparents, donors, and community members. The role requires exceptional organizational skills, attention to detail, follow-through, and the ability to manage multiple priorities while maintaining a high standard of professionalism and hospitality that reflects CHCA's Christ-centered mission.
This position also serves as the primary coordinator for volunteer engagement efforts, including recruitment, training, scheduling, and relationship management, ensuring volunteers feel valued, equipped, and connected to the mission of CHCA.
Key Responsibilities:
Administrative & Strategic Support
• Provide administrative support for Engagement team initiatives, programs, and events.
• Assist in the planning and execution of engagement activities aligned with CHCA's mission and annual objectives.
• Maintain and organize records, files, documentation, and event information.
• Support project management efforts by tracking timelines, deliverables, and key milestones.
• Coordinate meeting logistics, schedules, materials, and follow-up communications.
• Assist with budget tracking, expense monitoring, and reporting processes.
• Provide timely evaluation reports and recommendations for continuous improvement.
Data Management & Operational Excellence
• Maintain accurate records related to event attendance, volunteer participation, donor engagement, and community involvement.
• Partner with the Engagement team to ensure excellence in data management, reporting, and recordkeeping.
• Generate reports and summaries to support strategic planning and decision-making.
• Ensure data integrity across engagement platforms and systems.
• Track event metrics, participation trends, and engagement outcomes.
Volunteer Leadership
• Lead volunteer management efforts for Engagement events and initiatives.
• Recruit, train, equip, and support volunteers in alignment with CHCA's mission and values.
• Develop positive relationships with volunteers while maintaining clear expectations and accountability.
• Coordinate volunteer assignments, schedules, communications, and event responsibilities.
• Serve as the primary point of contact for volunteer-related questions and support.
• Recognize and celebrate volunteer contributions to foster long-term engagement.
Event Coordination & Support
• Support the planning, coordination, and execution of engagement events throughout the year.
• Assist with event logistics, registrations, materials preparation, setup, execution, and follow-up.
• Coordinate event supplies, signage, printed materials, and distribution needs.
• Ensure a welcoming, organized, and high-quality experience for all event participants.
• Support major school events, including Open Houses, Homecoming Festival, receptions, and other strategic engagement opportunities.
• Work collaboratively with campus departments and event stakeholders to ensure successful execution.
Communications Delivery & Event Logistics
• Coordinate printing and production needs for Engagement initiatives and key events.
• Assemble packets, event materials, and communications resources.
• Manage distribution and delivery of event signage and materials across campuses.
• Ensure timely delivery and setup of communications materials for engagement programs and events.
• Support communication efforts through effective coordination and organization of resources.
Cross-Department Collaboration
• Collaborate with CHCA leadership and departments to support engagement goals.
• Build strong internal partnerships to ensure alignment and effective execution of initiatives.
• Support a culture of service, teamwork, and mission-focused engagement throughout the school community.
