What is an EMR Go Live?

An EMR Go Live refers to the official launch and implementation of a new Electronic Medical Record (EMR) system within a healthcare organization. During this phase, the new software becomes the primary system for documenting and managing patient information, replacing any previous methods. Staff receive support and training to ensure a smooth transition, and technical teams are on hand to resolve any issues that arise. The Go Live period is critical for ensuring data integrity, workflow adaptation, and user adoption.

What are some common challenges faced during an EMR Go Live, and how can new team members best prepare for them?

During an EMR Go Live, team members often encounter challenges such as user resistance to new workflows, technical troubleshooting, and the need for rapid problem-solving in a fast-paced clinical environment. New team members can best prepare by thoroughly familiarizing themselves with the EMR system, understanding common user questions, and developing strong communication skills to support clinical staff effectively. Collaboration with IT, clinical leadership, and super-users is essential for resolving issues quickly and ensuring a smooth transition. Being adaptable and proactive in learning will help you succeed in this dynamic environment.

What are the key skills and qualifications needed to thrive as an EMR Go-Live specialist, and why are they important?

To thrive as an EMR Go-Live Specialist, you need expertise in healthcare workflows, electronic medical records (EMR) systems, and often a background in nursing, health informatics, or IT. Familiarity with major EMR platforms like Epic or Cerner, as well as relevant certifications such as Epic Credentialed Trainer or HIT certifications, is typically required. Strong communication, problem-solving, and training skills help you support end users and resolve issues during high-pressure system rollouts. These skills ensure a smooth transition to new systems, minimize disruptions, and support patient care quality during the critical go-live period.

Job description

APP Informatics Lead

At HCA Healthcare, our Digital Transformation and Innovation (DT&I) team is redefining what's possible in patient care. By leveraging the power of artificial intelligence, automation, and digital technologies, DT&I is helping drive meaningful improvements in clinical outcomes, reduce manual workload, and expand the reach of our care teams. If you're passionate about using technology to improve human life, this is where your work truly matters.

What You Will Accomplish In This Role

The APP (Advanced Practice Provider) Informatics Lead advances the organization's strategic goal of successful, scalable Expanse adoption by supporting provider engagement, education, and change management across large, complex implementations. Partnering with clinical and operational leaders, this role accelerates go-live readiness and sustained usability by preparing provider champions, delivering at-the-elbow support, and translating structured provider feedback into EMR optimization and continuous improvement.

Responsibilities:

  • Support and execute provider engagement strategy for all upcoming Expanse implementation Waves, including in-person and virtual activities across Divisions/facilities.
  • Plan and support engagement events such as Division Kickoff (DKO), Facility Kickoff (FKO), Expanse Change Champion (ECC) meeting coverage, and other readiness and adoption activities.
  • Schedule and coordinate provider engagement activities (calendaring, tracking participation, logistics, follow-up, readiness checklists).
  • Prepare providers and champions for go-live, including Go-Live Facilitator preparation, workflow education, and readiness reinforcement.
  • Conduct and/or support provider training, including group sessions and 1:1 engagements to address concerns, workflow impacts, and adoption barriers.
  • Develop and/or coordinate provider-facing communications and materials to drive adoption and standardization.
  • Support provider champion training and education, including onboarding/orientation, expectations, and escalation pathways.
  • Conduct product demonstrations at facility/division kickoffs and other stakeholder sessions, tailoring messaging to audience and workflow impact.
  • Support completion and quality of provider engagement deliverables (e.g., provider engagement workbooks, readiness artifacts, issue logs, feedback summaries).
  • Help staff and sustain provider change champion groups; assist with meeting preparation, agendas, content, and action tracking.
  • Assist with post go-live office hours (facilitating sessions, triaging issues, capturing themes, escalating appropriately).

Go-Live Coverage & At-the-Elbow Support

  • Provide on-site and/or virtual go-live coverage for providers and clinical teams, including at-the-elbow support, rounding, and rapid workflow troubleshooting.
  • Identify recurring adoption barriers and collaborate with implementation, training, and optimization teams to address root causes.
  • Support issue gathering, fact finding, and resolution processes; communicate recommendations and solutions clearly to varied stakeholders.

Education & Clinical Content Development

  • Support development of engagement and education content (provider tip sheets, workflow guides, specialty-targeted training materials, ambifi's, FAQs).
  • Help evaluate the effectiveness of training strategies/materials and recommend iterative improvements based on frontline feedback.
  • Collaborate with clinical leaders, trainers, and project teams to ensure content aligns with enterprise standards while reflecting real-world workflow needs.
  • Participate in continuous improvement and organizational learning—sharing lessons learned across waves and sites.

Expanse EMR Optimization

  • Partner with the EMR Optimization team to support optimization initiatives, including stakeholder meetings, workflow review, requirements gathering, and feedback synthesis.
  • Provide structured provider feedback to inform EHR build, enhancement prioritization, and usability improvements.
  • Support pilots and adoption measurement for optimization projects.
  • As needed, contribute to related Expanse technology/innovation initiatives (e.g., ambient listening, mobile Expanse app, digital adoption platform, and other provider-facing tools).
  • Support product development efforts by translating clinician needs into clear workflow requirements and actionable feedback for design/build teams.
  • Attend and present agenda items at the Enterprise Provider Advisory Group meetings.

What Qualifications You Will Need:

  • Graduate of an accredited NP or PA program with active, unrestricted advanced clinical licensure and 7+ years of combined clinical practice and informatics experience required.
  • Experience supporting clinical workflow change, training, and operational initiatives, with preferred experience in clinical informatics, EHR implementation/optimization, and enterprise EHR platforms (e.g., Meditech Expanse or comparable systems).
  • Preferred background in provider engagement and large-scale change management (multi-site or enterprise initiatives), with a Master's Degree in informatics or equivalent as a plus.
  • This is a remote role with 75% or more travel required.
