Job description

Campus Administrative Assistant

Primary Purpose: Provide clerical, organizational, and administrative support to the Dean of Students and campus administration to ensure the efficient operation of the campus office. Assist with student discipline documentation, parent communication, attendance-related support, scheduling, records management, and daily campus operations while maintaining confidentiality and professionalism.

Qualifications: Education / Certification High School Diploma or GED required Associate's degree or higher preferred Special Knowledge / Skills Strong organizational and communication skills Ability to maintain confidentiality Knowledge of general office procedures and customer service practices Proficient in Microsoft Office, Google Workspace, and student information systems Ability to multitask and manage frequent interruptions Strong interpersonal skills with students, parents, and staff Ability to work independently and meet deadlines Experience: Previous clerical or administrative assistant experience preferred Experience in school preferred

Major Responsibilities and Duties: Administrative Support Provide direct clerical and administrative support to the Dean of Students. Maintain calendars, schedules, appointments, and meeting coordination. Prepare correspondence, reports, forms, spreadsheets, and campus documents. Answer phones, greet visitors, and provide customer service to students, staff, parents, and community members. Maintain confidential student and personnel information. Student Discipline and Records Assist with maintaining discipline documentation and records. Enter and update student discipline information in the district student management system. Prepare discipline referral documentation and notification letters. Assist with coordination of student conferences and parent meetings. Maintain accurate records for campus disciplinary actions and interventions. Attendance and Student Support Support campus attendance procedures and follow-up communication. Assist students reporting to the dean's office. Coordinate communication with parents regarding student concerns. Assist with student check-in/check-out procedures as needed. Campus Operations Assist with campus event preparation and administrative coordination. Monitor office supplies and submit purchase requests as needed. Support substitute coverage communication and campus operational needs. Maintain organized filing systems for campus records and reports. Assist administration during emergencies and special situations. Communication Maintain professional and positive communication with staff, students, parents, and community members. Respond to inquiries in a timely and professional manner. Support campus initiatives and administrative projects. Other Duties Participate in district and campus professional development as required. Comply with district policies, procedures, and confidentiality requirements. Perform other duties as assigned by the Dean of Students or campus administration.

Other Duties Perform additional duties as assigned by the Dean or designee Support district strategic initiatives related to equity, compliance, accountability, and continuous improvement Mental Demands/Physical Demands/Environmental Factors: Tools/Equipment Used: Standard office equipment including personal computer and peripherals Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting Motion: Repetitive hand motions, frequent keyboarding and use of mouse; occasional reaching Lifting: Occasional light lifting and carrying (less than 15 pounds) Environment: Frequent districtwide travel; occasional statewide travel Mental Demands: Work with frequent interruptions; maintain emotional control under stress This position works 226 days Salary is commensurate with experience Minimum Salary $34,804 This position requires on-site, in-person work and does not offer remote work options. Sheldon ISD will accept applications for this position through May 25, 2026. After this date, applications will continue to be accepted in the event a suitable candidate is not identified.
