Summary: Secretarial assignments include such duties as office coordination, scheduling meetings, preparing and maintaining office records, reports, and correspondence pertaining to the professional(s)'s and/or management staff's area of responsibility.
Essential Duties and Responsibilities:
โ€ข Greet visitors and direct them to the appropriate departments or individuals
โ€ข Answer telephones and respond to inquiries via telephone or email
โ€ข Book meeting rooms, set up conference calls and take messages and minutes during meetings
โ€ข Perform administrative tasks, including filing and photocopying
โ€ข Write emails, memos and letters
โ€ข Implement and/or develop office procedures and record systems
โ€ข Manage databases and file systems
โ€ข Order and maintain supplies
โ€ข Document financial information
โ€ข Organize and distribute messages
โ€ข Make and confirm travel arrangements
โ€ข Prepare and mail outgoing correspondence
โ€ข Maintain confidential department files/records
โ€ข Perform routine bookkeeping tasks

Essential Functions/Qualifications/Requirements:
Education and Experience:
Must have a high school diploma or high school equivalency plus three years of clerical experience. Must be able to understand and interpret written and verbal instructions. Must keep accurate, up-to-date written records.

Technological Abilities:
To perform this job successfully, an individual must be proficient in general use of a computer, the use of Email as a form of communication, and other job-specific equipment, software, and/or applications.
