As an Intake Coordinator, you will play a critical role in creating a smooth and welcoming experience for clients and patients from their first interaction with the organization. You will coordinate the intake and referral process, verify insurance coverage and benefits, obtain necessary authorizations, schedule appointments, and ensure accurate and timely documentation.

You will work closely with clients, families, referral sources, clinical teams, and organizational leadership to ensure individuals are connected with the appropriate services while supporting accurate reimbursement and regulatory compliance. Key Responsibilities:
  • Welcome clients and patients to the organization and provide a positive, professional first impression.
  • Coordinate all aspects of the client and patient intake process from referral through admission.
  • Receive, review, and process referrals while ensuring information is communicated accurately to appropriate clinical and operational teams.
  • Complete screening and admission documentation accurately and within established timeframes.
  • Explain intake requirements and assist clients and families with completing necessary paperwork.
  • Gather and accurately enter demographic, insurance, financial, and clinical information into the Electronic Health Record (EHR).
  • Verify medical insurance coverage, benefits, eligibility, and financial responsibility.
  • Coordinate insurance authorization and financial clearance processes to support timely access to services and appropriate reimbursement.
  • Schedule consultations, assessments, testing, procedures, and other appointments as appropriate.
  • Maintain accurate census information and update the Bed Board or other designated tracking systems.
  • Respond to telephone calls, emails, referrals, and customer inquiries in a timely and professional manner.
  • Address client and patient questions, concerns, and complaints while escalating issues appropriately when necessary.
  • Maintain accurate and organized client and patient charts and documentation.
  • Perform general administrative duties including filing, copying, scanning, faxing, and data entry.
  • Apply basic knowledge of ICD-10 and HCPCS/CPT coding terminology when reviewing and processing documentation.
  • Maintain a basic understanding of behavioral health services and common therapy modalities.
  • Collaborate with leadership and staff across multiple locations to promote efficient intake and referral processes.
  • Maintain compliance with organizational policies, procedures, HIPAA, and applicable state, federal, and payer requirements.
  • Identify opportunities to improve intake workflows and promote operational efficiency.
  • Maintain positive and professional relationships with clients, patients, families, referral sources, providers, and internal teams.
  • Perform additional duties as assigned by leadership.
Education and/or Experience Qualifications:
  • High school diploma or equivalent required.
  • Previous experience in patient intake, healthcare administration, medical office administration, behavioral health, or a related healthcare setting preferred.
  • Experience with insurance verification, authorizations, referrals, scheduling, or patient registration preferred.
  • Experience working with electronic health records and healthcare information systems preferred.
Required License/Certification:
  • No professional license or certification required.
  • Valid driver's license, acceptable driving record, and current automobile insurance required.

  • Ability to maintain confidentiality and appropriately handle sensitive client and patient information.
  • Strong problem-solving and critical-thinking skills.
  • Professional demeanor and ability to remain calm and solution-focused when addressing customer concerns.
  • Commitment to providing equitable, respectful, and person-centered service.

Employment Requirements:
  • Successful completion of background screening, including criminal history, driving record, abuse/neglect, and fingerprint checks.
  • Completion of New Hire Orientation upon hire.
  • Completion of all required training, including Relias training, upon hire and annually thereafter.
  • Current driver's license, acceptable driving record, and proof of automobile insurance.
  • Compliance with all organizational policies, procedures, HIPAA requirements, and applicable regulatory and payer standards.
  • Ability to work collaboratively with leadership and staff across multiple organizational locations as required.
Physical Requirements:
  • Ability to perform sedentary work, including sitting for extended periods throughout the workday.
  • Frequent use of hands, fingers, and arms for typing, data entry, documentation, and computer use.
  • Ability to occasionally stand, walk, bend, reach, and lift materials weighing up to 10 pounds.
