Clerk I - Outside Plant (FT)

We are searching for an experienced Clerk I - Outside Plant (FT) at our Palmer HQ facility.

Primary Duties and Responsibilities

Under the direction of the assigned OSP Engineering & Construction Manager, performs clerical tasks and work order tracking for the OSP Engineering/Construction Department. This includes word processing, report writing, filing, spreadsheets, maintaining records, drawings, work order schedule and status.

A. Clerical Tasks
  1. General secretarial duties.
  2. Organizes and maintains files for general correspondence, supplier catalog library, work orders, drawings, records, and others as required.
  3. Creates and compiles reports.
  4. Assists in the compilation and maintenance of departmental budgets utilizing spreadsheet applications.
  5. Processes work orders through the Engineering/Construction Department. This includes, but is not limited to, requesting work order numbers, routing, logging, and filing. Maintains work order controls on the system 400 and other related software.
  6. Responsible for accurate and timely compiling of work order closeout packages.
  7. Trains other clerical personnel as assigned.
  8. Maintains function code listing as required.
  9. Maintains Held Service Order loges.
  10. Answers telephone and directs incoming calls to department personnel and takes messages, as required.
  11. Orders and tracks office supplies.
  12. Performs other duties as assigned.
B. Knowledge, Abilities and Skills
  1. Knowledge of general clerical and office procedures.
  2. Ability to coordinate paper flow and establish adequate controls.
  3. Ability to perform multiple tasks simultaneously.
  4. Familiar with construction function codes and account codes.
  5. Experience with computers and word processing, database, report writing, scheduling and spreadsheet applications.
  6. Working knowledge of the work order system.
  7. Ability to work with minimal supervision.
Required Qualifications
  1. Twelve (12) months clerical experience preferred, to include administrative assistance, receptionist position, or office entry level position or equivalent clerical training/education.
  2. Six (6) months experience in a construction and/or engineering office environment preferred, but not required.
  3. Ability to type 35wpm.
  4. High school diploma or equivalent.
  5. Previous demonstrated ability to utilize Microsoft word and excel or equivalent software programs, within the last 5-years.
  6. Ability to accurately input data.
  7. Ability to work independently or alongside others in order to complete tasks on time.
  8. Excellent communication skills, both oral and written.
