Job description

Position Summary
We are seeking an experienced Senior Document Controller to support the delivery of large-scale water projects. The successful candidate will be responsible for managing project documentation, coordinating document review workflows, maintaining project records, and ensuring timely distribution of RFIs, submittals, drawings, specifications, and other project deliverables.
This role requires a highly organized individual with strong attention to detail, excellent communication skills, and experience working in a fast-paced engineering, construction, or consulting environment.
Key Responsibilities
  • Manage the full lifecycle of project documentation, including receipt, distribution, tracking, filing, and archiving.
  • Coordinate and distribute RFIs, submittals, transmittals, drawings, specifications, reports, and other project documentation.
  • Monitor document review timelines and proactively follow up with reviewers to ensure project deadlines are met.
  • Maintain accurate document registers and project records within document management systems.
  • Administer collaborative review processes using Bluebeam Studio Sessions and other review platforms.
  • Support project teams with document control procedures, workflows, and best practices.
  • Perform quality checks on incoming and outgoing documentation to ensure compliance with project requirements and company standards.
  • Prepare and issue transmittals and information exchanges to clients, contractors, and project stakeholders.
  • Generate project reporting and metrics related to RFIs, submittals, document status, and review performance.
  • Assist with onboarding and mentoring junior document controllers.
  • Support continuous improvement initiatives and contribute to the development of document control standards and procedures.
  • Coordinate closely with project managers, technical disciplines, contractors, and clients to ensure effective communication and document management.
  • Provide coverage for fellow Document Controllers during planned and unplanned absences, including vacation, sick leave, and other time away from work, ensuring continuity of project support and adherence to document control service levels.
  • Support cross-training initiatives to ensure effective backup coverage across projects and document management systems.
  • Minimum 7 years of document control experience in engineering, construction, infrastructure, water, industrial, or related industries.
  • Strong understanding of document control principles, revision management, and records management practices.
  • Experience supporting large multidisciplinary engineering or construction projects.
  • Advanced proficiency with Microsoft Office Suite, particularly Excel.
  • Excellent organizational, communication, and time management skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong attention to detail and commitment to accuracy and consistency.

Pay Transparency: In compliance with pay transparency laws, pay ranges are provided for positions in locations where required. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible. Actual compensation for part-time roles will be pro-rated based on the agreed number of working hours per week.
