Job description

Now Hiring: Records Management Clerk

Department: Standards and Compliance
Reports To: Compliance Manager
Classification: Non-Exempt
Location: Location: Corona, California | Full-Time | Travel: Occasional


Position Summary:

The Records Management Clerk is responsible for organizing, maintaining, safeguarding, and retrieving organizational records in both physical and digital formats. This role ensures that records are accurate, complete, compliant with internal policies and external regulations, and accessible to authorized personnel.


Key Responsibilities:

  1. File, scan, index, and categorize documents according to standard record management practices.

  2. Maintain physical and electronic filing systems.

  3. Ensure timely retrieval of records.

  4. Perform routine audits of records.

  5. Enter records data into document management systems.

  6. Update logs, inventories, and retention schedules.

  7. Prepare and organize new files and archival materials.

  8. Maintain training records and certification tracking logs in appropriate systems.

  9. Order, track and update required federal and state labor law postings and renewals.

  10. Follow policies and regulations for handling, retention, and destruction of records.

  11. Support implementation of retention schedules.

  12. Prepare records for secure destruction.

  13. Maintain confidentiality of sensitive information.

  14. Monitor access to files to ensure authorization.

  15. Safeguard files from loss, damage, or unauthorized access.

  16. Respond to record requests within 24 hours unless they are marked as urgent for legal purposes.

  17. Assist with audits and compliance reviews.

  18. Coordinate with other departments as needed.

  19. Perform other related duties as assigned.


Qualifications:

Required:

  1. High school diploma or GED.

  2. 2+ year office administration or records experience.

  3. Proficiency with Microsoft Office and Teams File Management.

  4. Experience with laptop computers, equipment and various applications as are typical in a business environment.

Preferred:

  1. Experience with Electronic Document Management Systems.

  2. Experience with HR or compliance documentation preferred.

  3. Knowledge of retention laws.
