Santa Clara, California, United States

Job Title: Client Services Associate

Reports To: The Client Services Associate will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.

Mailroom Associate

Job Summary

The Mailroom Associate is responsible for managing incoming and outgoing mail, packages, and shipping activities while providing excellent customer service to employees and visitors. This role also supports office operations by maintaining supplies, assisting with print equipment, and helping ensure a clean and organized workplace.

Key Responsibilities
  • Receive, sort, track, and distribute incoming mail and packages.
  • Process outgoing mail and shipments using approved procedures.
  • Notify employees of package deliveries and assist with mail-related inquiries.
  • Support shipping and receiving activities, including verifying packages and shipping documents.
  • Maintain and restock office supplies, paper, and toner.
  • Monitor and support copy/print equipment to ensure proper functionality.
  • Assist with meeting room setups and office support tasks as needed.
  • Provide reception or front desk coverage when required.
  • Perform light maintenance, organization, and cleaning of mailroom and common areas.
  • Deliver excellent customer service and maintain professional interactions with employees and visitors.
  • Complete additional administrative or operational tasks as assigned.
Qualifications
  • High school diploma or equivalent required.
  • 1+ years of experience in mailroom, office services, shipping/receiving, or a related role preferred.
  • Strong customer service and communication skills.
  • Basic computer skills, including Microsoft Office.
  • Ability to prioritize tasks and work independently.
  • Strong organizational and time management skills.
Physical Requirements
  • Ability to stand, walk, bend, and lift throughout the workday.
  • Ability to lift and move packages weighing up to 40 lbs.
  • Ability to push wheeled carts and operate standard office equipment.
