Job description

Summary: The Document Controller will work with and maintain the integrity of electronic and hardcopy formats of technical documents such as blueprints and reports. Sorting, storing, accessing, archiving, and ensuring the accurate and timely accessing and distribution of documented information as requested. You will be the main point of contact for the management of project-related documents.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Possess good knowledge of document control management processes and standards.
  • Log, track, retrieve, and maintain proper organization and storage of all project documents including submittal and deliverable tracking and project logs.
  • Utilize owner-provided Construction Management software.
  • Review inspector's daily reports for accuracy.
  • Coordinate with Project Managers and Subcontractors to expedite turnaround times on submittal and deliverable transmissions and reviews.
  • Print permitted drawings for city inspector reviews.
  • Other responsibilities as assigned.

Qualifications

Qualifications:

The requirements listed below are representative of the knowledge, skill, and/or ability required.         

Education/Experience:

  • Bachelor's degree in business management, Administration, or a related field.
  • 1-3+ years of relevant experience using an electronic document management system.

Skills and Competencies:

  • Familiarity with technical information such as metadata, tags, and attributes of construction and non-construction documents
  • Strong understanding of various disciplines and document types.
  • Proactive with strong planning, organization, and time-management skills.
  • Proficiency in Microsoft Office Suite products (Word, PowerPoint, Excel, Outlook, Teams). 
  • Meticulous and able to follow through with tasks promptly. High level of attention to detail, and highly organized.
  • Excellent organizational and time management skills.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Ability to effectively prioritize responsibilities depending on project needs. Ability to effectively present information and respond to questions from groups of managers and employees. 
  • Ability to develop and maintain successful relationships with all levels of employees, clients, and subcontractors.
  • Must be able to work under pressure and meet deadlines while maintaining a professional attitude.
  • Ability to work in a construction site environment (trailer office).

Language Proficiency:

  • Excellent verbal and written communication skills in English.

Nice to have:

  • Construction industry experience.
  • Written and verbal communication skills in Mandarin.

Additional Requirements:

  • Must have and maintain a valid driver's license. May be required to travel to other sites within Arizona to perform certain work functions.
