MARS Solutions Group is looking for an experienced Document Control Specialist located in Chicago, IL. Our client is a Natural gas and electricity industry Leader looking for high-quality talent to make a difference. Position Summary
The Document Control Specialist is responsible for supporting the full project document lifecycle for engineering and construction-related projects. This role manages, tracks, organizes, and maintains project documentation in accordance with established document control procedures, retention schedules, and quality standards. The specialist will support document distribution workflows, ensure proper approvals are obtained, and provide administrative support related to document management activities.
Responsibilities
Perform document control activities including document intake, release, revision control, archiving, metadata management, and data entry.
Maintain accurate and organized electronic and physical project records throughout the project lifecycle.
Scan, image, file, retrieve, and distribute project documentation in accordance with established procedures and retention requirements.
Create and process transmittals and document workflows for internal teams and external stakeholders.
Verify required approvals prior to issuing controlled documentation.
Coordinate with cross-functional teams to collect, input, and maintain project-related data and reports.
Review submitted documents for completeness, accuracy, and compliance with document requirements.
Communicate document deficiencies and provide feedback to document originators or suppliers as needed.
Maintain tracking logs and reporting tools associated with document control activities.
Respond to internal and external requests for drawings, specifications, and other project documentation.
Ensure document files remain audit-ready and compliant with company standards.
Provide light training and day-to-day support to users on document control processes and systems.
Minimum Qualifications
High school diploma, GED, or equivalent required.
Minimum 3 years of experience supporting engineering, construction, utility, or industrial projects in a document control capacity.
Minimum 3 years of administrative and data entry experience.
Experience working within an electronic document management system (EDMS).
Proficiency with Microsoft Office applications and Adobe Acrobat Professional.
Experience with scanning, printing, and large-format/OCE plotters.
Strong organizational, communication, and interpersonal skills.
Ability to manage multiple priorities and maintain attention to detail in a fast-paced environment.
Preferred Qualifications
Experience supporting capital construction or utility-related projects.
Familiarity with engineering drawings, technical documentation, and records retention practices.
Previous experience coordinating document workflows with vendors, contractors, and project teams.
Additional Details:
Duration: 12 Months with possibility of extension
Location: Chicago, IL 60601 - Hybrid
Shift hours: Mon - Fri; 08 to 05
