Job description

Primary Purpose:


Provide day today Electronic Document Management System operational support: create and populate the project Microsoft Teams folder structure as directed, receive and log documents, perform initial quality and completeness checks, prepare upload/transmittal packages, maintain transmittal and revision logs, and support the Document Control Engineering Specialist in the authoritative publishing process.


Accountability and Ownership:


Executes Microsoft Teams site creation and folder population in accordance with the taxonomy approved by the Document Control Engineering Specialist and Document Control Lead. Grant Teams site access as required to contractors, construction and project team members. Assign drawing and document numbering per Energy Project Management Procedures to external Engineering Procurement & Construction contractors. Responsible for daily intake monitoring and Master Document Register / tracker data entry for general and non vendor submissions, and for preparing upload packages for the Document Control Engineering Specialist to publish.


Primary Responsibilities:


Request Information Technology support to create the project Microsoft Teams site and perform provisioning tasks as needed. Create project Microsoft Teams sub channels and populate the general folder structure (document control procedures and forms) per the approved taxonomy. Grant Microsoft Teams site access operationally under the Document Control Lead’s access policy (execute provisioning as directed). Receive, log and register incoming documents and drawings in the Master Document Register or tracker. Prepare and validate upload/transmittal packages (including required attachments, metadata entries, transmittal cover and Bluebeam review packages) for the Document Control Engineering Specialist to publish. Assign drawing and document numbering as directed by the Document Control Engineering Specialist. Maintain revision logs, upload/transmittal records, and weekly activity summaries. Support archiving tasks and box/label preparation under direction of the Document Control Engineering Specialist and Document Control Lead. Provide weekly Master Document Register to Document Control Engineering Specialist and Document Control Lead.


Authority:


Return incomplete or nonconforming submissions to the originator with a deficiency list. Update Master Document Register or tracker status fields and prepare uploads/transmittals per defined workflows. Escalate technical, contractual, access or quality issues to the Document Control Engineering Specialist or Document Control Lead.


Key Deliverables:


Populated Microsoft Teams site and folder taxonomy; prepared upload/transmittal packages; registered Master Document Register entries; revision logs; transmittal records; weekly activity summaries.


Key Performance Indicators / Service Level Agreements:


Acknowledge receipt of submissions within 24 hours. Register documents in the Master Document Register within 24 hours. Complete initial quality and completeness check within 24 hours. Prepare validated upload/transmittal packages for the Document Control Engineering Specialist within 48 hours of acceptance. Maintain accuracy target for registered metadata (project target).

Where responsibility is unclear or overlaps exist, escalate to the Document Control Engineering Specialist; if unresolved, escalate to the Document Control Lead for final direction.
