Position Summary

The Facilities Administrative Assistant supports daily operations within a large, heavy manufacturing shipyard environment. This role provides administrative, clerical, and coordination support to facilities, production, and maintenance teams across a 63-acre waterfront facility. The position plays a key role in ensuring efficient communication, documentation control, and coordination between internal departments, vendors, and shipyard personnel.

Domestic travel may be required.

Essential Functions

  • Perform general administrative duties including filing, document control, data entry, and correspondence
  • Prepare, edit, and format reports, memos, work instructions, and technical documents
  • Maintain electronic and physical records, including master file systems and facility documentation
  • Manage incoming communications (calls, emails, requests) and route appropriately
  • Coordinate maintenance requests and facility-related service needs across shipyard operations
  • Track and distribute work orders, drawings, and technical information to internal teams and vendors
  • Ensure compliance with company policies, safety standards, and environmental regulations
  • Support production and facilities teams by preparing documentation for bids, invoices, and project tracking
  • Other duties as assigned

Required Skills

  • Must have strong Microsoft Office Suite computer skills
  • Must have strong organizational, time management, written and verbal communication skills
  • Must have ability to maintain confidentiality and a professional demeanor
  • Must adhere to ISO and OSHA policies established by FMG and have high values for safety awareness

Education and Experience

  • High School Diploma, or equivalent combination of education, training, and experience
  • 2 Years of administrative experience required
