Primary Function:

The Document Control Assistant is responsible for providing support services including, but not limited to, receiving and logging of vendor and client documents, document reproduction activities, and shipping project documentation to clients and project team members. The position will be based in our Houston, Texas office located at 12031 Kurland Dr, Houston, TX 77034 and will report to Dashiell's Administrative Supervisor.

Duties & Responsibilities

Employee may be called upon to perform any or all of the following functions:

  • Provide oversight of document controls activities on projects; ensure that quality of document controls deliverables meet expected standards.
  • Provide oversight of vendor data activities on projects; ensure that quality of vendor data deliverables meet expected standards.
  • Prepare various management and project status reports.
  • Communicate with all levels of management, clients, vendors, and project team members to achieve project objectives.
  • Receive all deliverables and log them into the document control system, then create and distribute them to clients, vendors, and project personnel.
  • Scan, image, organize, and maintain documents and filing systems, adhering to company document procedures.
  • Maintain documentation logs utilizing the document control system throughout the project.
  • Post documents and drawings to project webpage, FTP site, SharePoint, and other applicable platforms.
  • Work closely with project team members on the status of project documents.
  • Perform quality assurance checks for outgoing transmittal packages including engineering drawing title block correctness, accurate engineering stamp application, and revision controls.
  • Perform basic to intermediate word processing, spreadsheet, and database assignments.
  • Monitor status of, perform light duty maintenance as needed, and replenish consumables for large-scale printing devices.
  • Mail out and/or distribute documents, parcels, and other materials.
  • Ensure work is being performed within the guidelines of company policies and procedures.
  • Perform special projects and complete other duties as assigned or requested.
Minimum Qualifications / Experience

Required

  • High school diploma or equivalent is required.
  • Minimum 1 year of prior office experience required; engineering industry experience preferred.
  • Proficiency in MS Office and Windows operating systems.
  • Proficiency with express shipping software such as FedEx and UPS.
  • Excellent written and verbal communication skills.
  • Ability to conduct yourself and perform job duties in a professional manner.
  • Ability to work effectively in a team environment.
  • Ability to prioritize, manage time effectively, troubleshoot, and work in a fast-paced, deadline-driven environment.
  • Must be organized and detail-oriented with the ability to multi-task.
  • Flexibility for occasional overtime.
  • Valid driver's license required; must maintain an acceptable driving record throughout employment.
