Job Summary

Havel is looking for a Service Dispatch Administrative Assistant in Fort Wayne, IN. In this position you will be responsible for answering phones for dispatch and scheduling services.

Essential Duties & Responsibilities
  • Maintain a positive and productive working relationship with Dispatch Manager, Operations Managers and Field Technicians
  • Answering Incoming Phones
  • Work with Dispatch Manager to schedule service calls and planned preventative maintenance
  • Update customers on status of services calls and preventative maintenance requests
  • Create/Maintain tickets using internal Dispatch Board
  • Maintain Weekly On -Schedule for Field Technicians
  • Enter Backflows inspections into Cross Connection Database
  • Data Entry of Purchase Orders into Truline
  • Call vendors to track down missing invoices
  • Run Monthly reports for Operations Managers as needed
  • Other duties assigned
Qualifications
  • Background experience in administrative duties and customer service preferred
  • Working knowledge of Microsoft Outlook, Word, Excel, PowerPoint
  • iSeries, AS400, or Truline experience is preferred
  • Self-starter and attention to detail
  • Possess a willingness to learn and ability to work well with others
  • Good written, phone skills, and oral communication skills are essential to the job
  • Regular and reliable attendance, including the ability to work extended hours and weekends as required
