Dispatcher Assistant

Location: Largo, Florida
Department: Dispatch
Reports to: Operations Manager


Role Overview

The Dispatcher assistant is a critical component of Gator Transport Group's day-to-day operations, acting as the communication hub between customers and drivers. This role demands exceptional attention to detail, forward thinking, and strong organizational skills to ensure optimal customer service and internal efficiency. The ideal candidate thrives in a fast-paced environment and maintains composure under pressure while juggling logistics, compliance, and customer relationships.

Key Responsibilities
  • Promptly answer all dispatch-related calls and texts, including after-hours inquiries
  • Accurately enter all job orders into Towbook and assign drivers accordingly

  • Create and maintain customer accounts in Towbook

  • Verify all loads meet legal/permitted weights and dimensions

  • Maintain clear and timely communication with customers regarding delays or issues

  • Negotiate rates with customers via email, phone, and text

  • Contact customers proactively when trucks are not assigned work for the day

  • Monitor and ensure driver compliance with Hours of Service (HOS) regulations

  • Confirm on-time driver departures and arrivals at job sites and yards

  • Schedule and coordinate permits, escorts, and subhaulers daily

  • Send customer packets to prospects and Maintain follow-up tracking

Qualifications
  • High school diploma or GED (required)

  • Bachelor's or Associate degree in Transportation, Logistics, or related field (preferred)

  • 3-5 years in administrative, customer service in construction or heavy haul industry

  • Working knowledge of Towbook, Samsara, and transportation management software

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)

  • Strong organizational, communication, and time-management skills

  • Understanding of Florida DOT laws, load weights, and restrictions


Work Schedule & Environment
  • Monday-Friday, 9:00 AM - 6:00 PM

  • Occasional Saturday work from home may be required

  • Physical activity includes sitting, standing, reaching, stooping, kneeling, and lifting Regularly lift up to 10 lbs.

  • On-site office environment
