SUMMARY

Partner Engineering and Science, Inc. is seeking a full-time Disbursement Agent to work in our Construction Services Department in our Las Vegas, Nevada Office. 

RESPONSIBILITIES

  • This position will be responsible for the performance of such tasks as reviewing payment applications, auditing invoices, tracking of waiver/releases the disbursement of funds, and the issuance of Construction Progress Monitoring/Funds Control (CPM/FC) reports
  • A qualified Disbursement Agent should have the ability to work as part of a team as well as having the ability to work independently
  • The ability to work within strict deadlines and budgets is also an essential skill for the position. Other tasks that a Disbursement Agent may be required to partake in includes payment application analysis, track, review and collect applicable State releases from General Contractors, Sub-contractors, and suppliers

ESSENTIAL DUTIES & TASKS

  • Efficiently and successfully manage multiple projects concurrently
  • Monitor progression throughout the project life cycle
  • Data entry into Partner’s database and disbursement systems
  • Compile draft or Final reports (checking for consistency with addresses, project numbers dates etc.,) and delivery of reports based on client requirements/instructions.
  • Serve as the primary point of contact for the team with respect to financial/accounting matters associated with construction draws/payment requests
  • Work with our Partner Associates (outside consultants/inspectors) and provide them with the appropriate engagement letters, report templates, and documentation, as needed
  • Ability to work extended hours, including weekends, if needed
  • Ability to handle heavy communication via email and phone
  • Coordinate the efforts of Partner team members and the Client to successfully deliver a quality product and service within a designated time frame
  • Enter data and maintain information to include a subcontractor and vendor list, invoices, check numbers and amounts and other related financial information. Collect and verify all invoice material, back-up documentation, and lien waivers for each draw request.  Submit findings through tracking logs within our CPM Report for review to Client
  • Disbursements of funds to the Borrower, Contractor, Subcontractors, and other vendors, as applicable.
  • Manage client follow-up, questions, and concerns
  • Delegate tasks and responsibilities to appropriate team members

KNOWLEDGE SKILLS, AND ABILITIES

  • General Knowledge of Construction including Contracts, budgets, and estimates
  • Knowledge of building components, details, and systems
  • Understanding construction process
  • Excellent verbal and written communication skills with strong analytical and organizational skills. Ability to communicate technical construction language as it translates to a Client.
  • Strong focus on customer service
  • Proven ability to successfully deliver a product on time
  • Proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint and Adobe Acrobat & Reader
  • General Accounting Practices
  • The ability to perform construction site visits and observations would be a plus

QUALIFICATIONS AND PHYSICAL REQUIREMENTS

  •  High School Diploma or equivalent. College educated, a plus
  • Licensing in applicable State
  • Construction accounting experience
  • Minimum 3-5 years relevant experience with an Architectural, Engineering, Financial Services, Construction Management or Construction Firm
  • Must be able to read, write, speak, and comprehend English
  • Must be able to communicate clearly in person and over the telephone with a good sense of email etiquette
  • Visual acuity adequate to perform job duties, including reading information from printed sources and computer screen
  • Requires frequent bending, reaching, standing, walking, sitting, pushing, and pulling exerted regularly throughout the work shift

Compensation

The pay scale for this role considers a wide range of factors when making compensation decisions including, but not limited to, skill sets, experience and training, licensure and certifications, and other business and organizational needs. Please note, the disclosed pay scale estimate has not been adjusted for the applicable geographic location where the position may be filled.

You may also be eligible to participate in a discretionary incentive bonus program which is dependent on various factors, including, but not limited to individual and organizational performance.
