Job description

Easterseals Southern California transforms lives every day. For over a century, Easterseals has championed inclusion and independence-delivering essential services like early childhood programs, autism services, employment and independent living support to more than 29,000 people each year. Through advocacy and education, we break barriers and create opportunities for the one-in-four Americans with disabilities.

OVERVIEW OF POSITION: Under general supervision, works with participants to obtain placement for therapeutic services within our internal center or the Therapy Provider Network. Functions as the liaison between Therapy Services associates, medical providers, and participants. Coordinates assignments, manages related communications, and ensures appropriate documentation is completed.

ESSENTIAL FUNCTION:

  • Coordinates and processes physician referrals, reports and re-authorizations as directed by management. Communicates with medical providers, Therapy Center associates and Contracted Therapy Service providers to ensure appropriate participant assignments have been identified and necessary documentation for therapy services is complete.
  • Coordinates, communicates and documents interactions with participant, family and/or caregiver regarding Therapy Center and/or Contracted Services, assignments, schedules, concerns, suggestions, input, grievances, referrals or reports, as appropriate. Provides bilingual communication and/or translation, as necessary.
  • Provides professional verbal and written communications with participants, associates, medical provider counterparts and managers to assure requested participant assignments are consistent with services provided. Prepares, submits, and/or presents data, reports and/or spreadsheets related to utilization- or productivity-related statistics, as required. Provides orientation, familiarization, instruction and assistance to Therapy Services and Therapy Provider Network associates.
  • Communicates, collaborates, and participates with Therapy Provider Network team during meetings, and events intended to improve the level of efficient and effective quality service being delivered and to achieve other Therapy Services initiatives.
  • Performs other duties as assigned.

EDUCATION:

Requires a High School Diploma, GED, or national equivalent.

EXPERIENCE:

  • 1-2 years' experience in an administrative/clerical environment where complex interactions require a sophisticated level of coordination, preferably in a clinical setting.

KNOWLEDGE, SKILLS, ABILITIES:

  • Proficient in Microsoft Office (Word, Excel, Outlook), Windows-based applications, databases, and internet usage.
  • Excellent organizational, decision-making, and verbal and written communication skills to be able to communicate effectively with all levels of associates, physician's office personnel, and the general public.
  • Ability to assist in efficient office operations, work independently, and as a team member.
  • Ability to maintain customer-service orientation and professionalism in all interactions.
  • Ability to exercise a high level of discretion in handling confidential information.
  • Ability to prioritize and organize workload and be able to produce high-quality results with meticulous attention to detail.
  • Ability to remain focused and flexible with shifting/changing priorities, heavy workload and tight deadlines.
  • Ability to acquire an understanding of organization and department policies and practices.
  • Ability to pass a post-offer physical examination and a TB test.
  • Ability to provide proof of required vaccinations or positive titer showing immunity. A signed declination may be acceptable for certain vaccinations.
  • Ability to obtain and maintain a criminal record/fingerprint clearance from the Department of Justice and Federal Bureau of Investigation per Easterseals of Southern California and/or program requirements.
