Job description

JOB SUMMARY
The Housing Assistants will review, process and approve applications for housing assistance for the STRMU, SDAP and TBRA programs. They will coordinate with referring case managers to ensure applications are complete and meet the HOPWA standards for each program in terms of eligible clients. They will be responsible for ensuring that all needed payments for clients are communicated to the finance department so that financial assistance checks can be processed effectively. They will be responsible for getting the payments out to the respective landlords, vendors, etc. on behalf of approved clients. The Housing Assistant works directly with the Housing Coordinator to provide eligible members access to financial assistance that will help them to maintain current housing and /or prevent utility cessation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Process, verify eligibility and select appropriate member applications for financial
assistance.
• Complete required documentation, tracking, monitoring and reporting for grant purposes.
• Communicate with Case Managers, Group Managers and Members regarding the
outcomes of financial assistance applications.
• Maintain proper record maintenance, current and archived, in compliance with HIPAA
standards for all financial assistance programs.
• Conduct 6 month reviews for recipients of financial assistance.
• Communicate with members, landlords, utility companies and medical providers in order
to obtain information needed for housing/file records (i.e., updated billing information,
verification of receipt of check)
• Work with The Finance Department to coordinate the processing of checks to ensure that
financial assistance payments are made in a timely manner.
• Interface with other HOPWA funded agencies to ensure that services are not duplicated.
• Conduct internal quality assurance Chart Audits.
• Responsible for ensuring that transportation assistance is available as budget permits.
• Maintain records of approvals and denials for applications related to HOPWA funding
• Set up TBRA Case Files, calculate subsidies and prepare contracts for all approved TBRA
Members.
• Schedule and facilitate face to face orientations with new TBRA Members to discuss
contracts, goals and program expectations.
• Process contract addendums and inform all parties involved of changes to TBR contracts
including Landlords, Case Managers and Members.
• Notify the Housing Coordinator of any problems, concerns, support needs, and/or trends
related to Housing.
• Obtain information from Case Managers on progress toward achieving goals and any
updated information associated with the case.
• Document all work done with and on behalf of members into agency client database system in accordance with documentation standard.
• Provide new employee and continuing education training for Case Managers on financial
applications and processes in collaboration with TBRA Team Coordinator.
• Organize and facilitate Monthly Right Track Workshop for all approved Members ensuring
all Members attend within 60 days of TBRA approval in collaboration with TBRA Team
Coordinator.
• Submit monthly spreadsheets on STRMU, SDAP, TBRA, Transportation Assistance and
JHF to Associate Director of Housing.
ADDITIONAL FUNCTIONS

agency
• Attend monthly individual supervision with Tenant Based Rental Assistance Team
Coordinator
• Attend monthly group supervision with Tenant Based Rental Assistance Team Coordinator
• Attend monthly Department of Client Services meeting
• Attend monthly required meetings and trainings
• Attend monthly all-agency meeting
• Other special projects, duties and responsibilities, as needed
SUPERVISORY RESPONSIBILITIES
• This employee will not have any supervisor responsibilities.
Education & Work Experience
• High school diploma or equivalent with two years working in the social service field
• Experience with the terminally ill, knowledge of AIDS program development and nonprofit service agency preferred.
• Considerable skill in developing and maintaining databases and spreadsheets in Microsoft
Excel.
• Knowledge of the housing-related difficulties affecting the well-being and health status of
individuals with HIV.
• Considerable skill in locating and developing housing resources.
• Ability to communicate with clients and case managers on housing related issues.
• Working skill in communicating effectively with a wide variety of service providers.
• Ability to work independently and to meet deadlines on multiple tasks.
• Bi-lingual preferred but not required
