About the Job:  

We are actively hiring an Administrative Assistant to support our Ravenswood site, Chicago, IL.
Shift: Monday-Friday day shift working hours (40 hours per week)
Location: Onsite
FLSA Classification: Non-Exempt
Compensation: $20 to $23 per hour (depending on experience)

Reports to: Site Director

ESSENTIAL JOB FUNCTIONS:

A. Communicate in an effective, appropriate and courteous manner during all interactions with sponsors, physicians, physicians' office personnel, patients, CTT employees, CTT contract personnel, as well as any other person(s) when carrying out tasks/responsibilities.

B. Greet patients and monitors and notify respective study coordinators.

C. Maintain confidentiality of information and issues relating to subject, protocol, and/or contracted entities.

D. Responsible for answering phones, forwarding messages and pertinent information to staff in a timely manner.

E. Maintain written records of all incoming phone calls from subjects, sponsors/contract research organizations (CROs) and other study-related communications, as needed to ensure clear and efficient communication to target recipients.

F. Provide error-free document creation /revision support to study coordinators, regulatory department, Operations Manager and other staff members as requested.

G. Distribute incoming mail and faxes to appropriate staff.

H. Update various lists and logs periodically, as directed.

I. Assist regulatory department with CV/resume creation and updates, filing, copying, etc.

J. Accurately file documents within subjects’ charts/files, sponsor regulatory binders and departmental files as requested.

K. May from time-to-time conduct follow-up phone calls to remind subjects of upcoming visits as requested.

L. May from time-to-time schedule subjects’ visits and procedures as instructed by Team Leads; Managers; Director, Clinical Research and other leadership team members.

M. Perform all duties in a time- and cost-effective manner.

N. Represent Flourish Research in a professional and courteous manner (verbal, written and in appearance) when interacting with all staff, clients, and vendors.

O. Additional duties as assigned by management.

Requirements

PHYSICAL REQUIREMENTS AND/OR ENVIRONMENTAL FACTORS:

A. Work is normally performed in a typical interior clinical/office work environment.

B. Ability to sit for an extended amount of time.

C. Ability to work in a call center environment with occasional distractions and noise.

D. Extensive computer use.

E. Ability to properly lift thirty-five pounds and occasionally more than thirty-five pounds.

MINIMUM REQUIREMENTS:

Education: Bachelor’s degree, or equivalent work experience as an administrative assistant.

Experience: 1-3 years’ experience within the field of clinical or biological research preferred, not required.

Knowledge and Skills:

A. Demonstrated ability to collaborate and align with operations.

B. Excellent oral and written communication skills.

C. Excellent computer skills to include Office365 products.

D. Strong problem solving, risk assessment and impact analysis abilities.

E. Demonstrated experience in process improvement.

F. Flexible and able to multi-task and prioritize competing demands.

G. Ability to think independently and influence when appropriate.
