**This posting is for one (1) Permanent, Full-Time position**

The Edmonton Police Service requires one (1) Supervisor for the Digital Information Management Unit. The Unit Supervisor oversees teams at multiple locations responsible for the digitization of paper operational records and the intake of digital operational records into EPS' records management systems. This role is responsible for coordinating workload priorities, ensuring records are processed accurately and in compliance with legislation and applicable standards, and maintaining established service levels. The Unit Supervisor plays a key role in ensuring the integrity, reliability, and proper management of EPS records.

Responsibilities of this position include:

  • Providing leadership, supervision, mentoring, and performance feedback to the Assistant Supervisors and clerical staff, while fostering a consistent, service-oriented team environment.
  • Coordinating, prioritizing, and adjusting unit workload to ensure timely digitization of paper records and intake of digital records into EPS' records management systems in accordance with established service levels.
  • Setting performance expectations, monitoring productivity and quality, and reporting on unit performance to mitigate backlogs and ensure accuracy and timeliness.
  • Ensuring all records are processed in compliance with applicable legislation, standards, and EPS policies, including CAN/CGSB-72.34 and evidentiary requirements.
  • Overseeing quality control processes to ensure records are accurate, complete, and properly classified, indexed, and stored within EPS' records management systems.
  • Overseeing the organization, storage, and retrieval of physical records within the warehouse, including the management of records requiring special handling or retention.
  • Identifying operational risks, workflow gaps, and inefficiencies, and implementing or directing process improvements and corrective actions.
  • Establishing and monitoring performance metrics and reporting to support operational decision-making and continuous improvement.
  • Providing guidance and direction to internal stakeholders regarding records intake requirements, and ensuring compliance with records governance standards.
  • Collaborating with internal partners, including IT and subject matter experts, to resolve issues and support system or process enhancements.
  • Managing the offsite records warehouse, including serving as the primary point of contact.
  • Performing other related duties as required.

Working Conditions: the successful candidate will be exposed to content that may be graphic.
 

  • Completion of the twelfth (12th) school grade including business subjects with emphasis on subjects related to the area of specialization or completion of a relevant certificate program from an approved business school/college
  • A minimum of 5 years of experience in records management, digitization, document processing, or information management is mandatory
  • Minimum of 2 years of experience supervising a moderate to large team is mandatory; experience supervising teams in multiple locations and supervising through an intermediate supervisory layer is an asset.
  • Proficiency with Niche RMS is required; experience with Evidence.com or JOIN is considered an asset
  • Strong knowledge of information management principles, records governance, and applicable legislation and standards, including CAN/CGSB-72.34-2024, privacy legislation, and evidentiary requirements, are required
  • Well-developed critical thinking and analytical skills are mandatory, including the ability to assess risks, understand operational impacts, and develop effective, practical solutions in a high-volume environment
  • Demonstrated ability to manage competing priorities, adjust workflows, and maintain established service levels under pressure is required
  • Strong decision-making skills, with the ability to prioritize competing demands and respond appropriately based on operational risk, compliance requirements, and service delivery needs
  • Strong communication and interpersonal skills, with the ability to provide clear direction, set expectations, and build effective working relationships
  • Strong organizational, technical, and troubleshooting skills
  • Ability to ensure quality control and consistency across teams by monitoring processes, identifying discrepancies, and directing corrective actions
  • Demonstrated ability to mentor, coach, and develop staff at varying levels of performance, including reinforcing expectations, addressing skills gaps, and supporting continuous improvement is mandatory
  • Ability to assess and manage risk, including identifying potential impacts to records integrity, compliance, and organizational accountability
  • Experience working in a policing, investigative, or justice environment would be considered an asset.

Hours of Work:  
40 hrs per week, Monday - Friday, 0700 - 1530. Subject to change. Some after-hours or on-call work may be required.

Salary Range:  
21B, Salary Grade: 017, $34.315 - $43.102 (Hourly), $2,745.20 - $3,448.20 (Bi-Weekly), $71,649.72 - $89,996.98 (Annually). 
The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.
