Job description

Sage Dental Management is a leading, rapidly growing Dental Service Organization (DSO) committed to
innovation, excellence, and patient-centered care.
Overview
The Marketing Operations Manager is responsible for driving the operational excellence of the
Marketing department by managing budgets, marketing systems, campaign execution, reporting, vendor
coordination, and compliance processes. This role serves as the central hub for marketing operations,
ensuring initiatives are executed efficiently, accurately, and in alignment with organizational goals.
The ideal candidate is highly organized, analytical, detail-oriented, and experienced in managing complex
marketing processes across multiple locations. This individual will collaborate closely with internal
stakeholders, agency partners, finance, legal, compliance, operations, and executive leadership to
support business growth and deliver measurable marketing performance.
Responsibilities
Marketing Budget Management & Reporting
• Track monthly marketing budgets by channel, including planned and projected expenditures.
• Reconcile monthly marketing expenses against budgets and prepare accurate variance reports.
• Monitor marketing spend by practice location and channel for Business Intelligence (BI)
reporting.
• Develop recurring reports measuring channel performance, campaign effectiveness, and return
on investment.
Marketing Systems & Analytics
• Ensure marketing tracking is properly configured and functioning across digital, phone, and
offline marketing channels.
• Partner with internal teams and vendors to maintain accurate attribution, campaign tracking,
and reporting.
• Support continuous improvements in marketing reporting, dashboards, and operational
processes.
Campaign Operations
• Create, maintain, and distribute quarterly marketing campaign guides to support field
operations.
• Coordinate campaign timelines, deliverables, and communication across internal departments.
• Assist in planning, executing, and tracking marketing initiatives and special projects from
inception through completion.
Digital Listings & Local Search Management
• Manage business listings across Google Business Profile, Bing Places, Apple Maps, Yelp, and
other online directories.
• Collaborate with the organization's SEO agency to optimize local listings and improve organic
search visibility.
• Monitor directory accuracy and recommend enhancements that increase local search
performance.
Provider & Location Marketing Support
• Manage all marketing-related onboarding and offboarding activities for providers, including
updates to Zocdoc, Healthgrades, and other provider-specific directories.
• Oversee marketing setup for new (de novo) and acquired practice locations.
• Ensure all marketing systems, digital assets, directory listings, and tracking mechanisms are fully
configured, tested, and launch-ready prior to opening.
Quality Assurance & Compliance
• Proofread marketing materials to ensure accuracy, consistency, brand alignment, and regulatory
compliance.
• Review direct mail proofs for data accuracy, budget adherence, and production readiness.
• Conduct periodic audits of marketing systems, assets, records, and documentation to ensure
information remains current and accurate.
• Maintain organized marketing contracts, legal documentation, disclaimers, and compliance
records.
• Coordinate with Legal, Compliance, and Executive Leadership to ensure marketing materials
meet regulatory requirements and brand standards.
Project & Operational Support
• Provide day-to-day operational and administrative support for the Marketing department.
• Track project milestones, deadlines, budgets, and resource allocation.
• Identify process improvements that enhance efficiency, organization, and cross-functional
collaboration.
• Serve as a key liaison between marketing, operations, finance, legal, vendors, and agency
partners.
Qualifications
Required
• Bachelor's degree in Marketing, Business Administration, Communications, or a related field.
• 8-10 years of experience in marketing operations, marketing project management, marketing
analytics, or a related role.
• Strong experience managing budgets, reporting, and marketing performance metrics.
• Experience supporting multi-location organizations or franchise environments preferred.
• Excellent project management and organizational skills with the ability to manage multiple
priorities simultaneously.
• Strong analytical skills with proficiency in Microsoft Excel and reporting tools.
• Exceptional attention to detail, proofreading, and quality assurance skills.
• Excellent written and verbal communication skills.
• Ability to work cross-functionally with internal departments and external agency partners.
Preferred
• Experience with digital marketing, call tracking, and analytics tools.
• Familiarity with Google Business Profile management and local SEO best practices.
• Experience working with Business Intelligence (BI) reporting platforms.
• Knowledge of healthcare marketing, HIPAA considerations, or other regulated industries is a
plus.
