Job Summary:

Reporting to the Director, Digital Operations & Engagement, the Manager, Digital Operations plays a critical role in scaling and optimizing how digital initiatives are planned, prioritized and delivered across BMO Global Asset Management (BMO GAM).
This role leads the governance and ongoing optimization of Adobe Workfront and related workflow processes, overseeing project intake, prioritization, governance, the content supply chain, workflow optimization and platform evolution.


Working closely with stakeholders across the Business and Communications Engagement, Digital Operations, Product, Sales and Marketing teams, as well as external vendors, this role will help ensure increasing project demand is managed efficiently while improving visibility, accountability and delivery outcomes.
The successful candidate will also lead efforts to modernize operational processes through automation, AI-enabled workflows and continuous improvement initiatives that support BMO GAM's digital transformation objectives.

Lead Digital Operations Intake, Triage and Workfront Governance

  • Act as the business lead for Adobe Workfront governance, ensuring intake, prioritization, workflows, templates and reporting support efficient delivery.
  • Assess incoming requests, facilitate prioritisation discussions and provide visibility into project demand, status and capacity.
  • Manage intake processes, escalations and service expectations across Digital Operations and Engagement initiatives.

Drive Operational Excellence & Process Optimisation

  • Identify opportunities to improve workflows, automate manual processes and enhance operational efficiency.
  • Develop and maintain governance frameworks, standards and documentation that support consistent delivery.
  • Partner with business, technology and vendor teams to streamline how work moves from intake through execution.

Reporting, Capacity Planning & Performance Insights

  • Develop reporting and dashboards that provide visibility into demand, delivery performance, capacity and operational health.
  • Monitor operational KPIs and leverage data-driven insights to support prioritisation, forecasting and decision-making.

Lead Automation & AI Innovation

  • Evaluate emerging capabilities within Adobe Workfront, Workfront Fusion, AI Agents and other workflow technologies.
  • Identify and pilot automation opportunities that improve productivity, governance and scalability.
  • Help shape the future of BMO GAM's digital operating model through continuous improvement and innovation.

What We're Looking For:

Required:

  • 5+ years of experience in Digital Operations, Marketing Operations, Workflow Management, Project Management, Platform Governance or a related discipline.
  • Bachelor's degree, typically 4 years, in Business, Marketing, Technology, Information Systems, Operations or a related field.
  • Adobe Workfront experience is required, including hands-on experience administering, configuring, governing or optimising Workfront workflows, intake processes, reporting and operational frameworks.
  • Proven experience managing project intake, triage, prioritisation, demand management and workflow governance.
  • Strong understanding of digital platforms, SaaS tools, content management systems and digital marketing technologies.
  • Experience developing or improving operational processes, workflows, documentation and delivery frameworks.
  • Strong analytical skills with the ability to translate data, reporting trends and operational issues into actionable recommendations.
  • Strong stakeholder management, communication and influencing skills.
  • Ability to manage multiple priorities, adapt quickly and operate effectively in a fast-paced environment.

Nice to Have:

  • Workfront Fusion experience or experience implementing workflow automation platforms.
  • Adobe Workfront certification.
  • Experience evaluating or implementing AI-powered workflow tools, intelligent agents or automation solutions.
  • Familiarity with Jira or similar project/work management platforms.
  • Experience with Adobe Experience Cloud, Salesforce, Contentful, Pardot or related platforms.
  • Experience with reporting tools or dashboards such as Adobe Analytics, Google Analytics, Data Studio or Power BI.
  • Financial services, banking, asset management, FinTech or MarCom operations experience.
  • Knowledge of investment products or asset management business lines.

Salary:

$69,000.00 - $129,000.00

Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group's expected target for the first year in this position.
